Job summary
An exciting opportunity has arisen for an enthusiastic, proactive administrator to join our team at Oakley House supporting the Community Mental Health Teams.
The position is 37.5 hours per week Monday to Friday.
The successful candidate will ideally have some previous experience of working within a similar role.Experience of working within a multi-disciplinary team would be an advantage.
This role is key to the smooth running of the CMHT, you will be communicating with and supporting service users for appointments and other queries and dealing with all the admin for the clinical teams, including typing and processing clinical letters, organising appointments, covering outpatient reception where needed, and supporting clinical meetings producing minutes where necessary.
The role is a varied and busy one. You will need to have strong multitasking skills, patience, resilience, along with good computer and organisational skills. The need for confidentiality is essential in this role as is the attention to detail.

Main duties of the job
You will be organising meetings and taking minutes on a weekly basis.
This role is based at Oakley House in Merley which has on site free car parking and is on a main bus route.
Telephone reception to service users, GPs and other agencies
Typing clinical documentation using audio typing, and producing adhoc letters on word to team's requirements.
Processing and sending information to, service users, GP's and other agencies
Outpatient reception.
Booking appointments
Arranging and taking minutes of meetings.

Person Specification
Information Technology
- IT skills, normally obtained through practice or practical training OR Demonstrable experience of using word processing, spreadsheet, database and or presentation software to RSA II or equivalent standard.
Knowledge, skills & training
- Min 5 GCSE's including Maths or English, or equivalent
- RSA Level 2, ECDL or equivalent level of IT skills
- Ability to use keyboard with high degree of speed and accuracy (audio typing and copy typing) and inputting information
- NVQ Level 2 or equivalent level of experience of office procedures
Job specific experience
- 2 years of previous experience within a comparable role, admin and/or customer service.
- Excellent communication & interpersonal skills, both written & verbal
- Excellent organisational skills with ability to multitask
- Ability to deal with emotionally heightened service users
- Organising meetings & Minute taking skills
- Previous NHS experiences
Personal qualities/attributes
- Ability to remain calm and professional when dealing with challenging callers.
- Demonstrable ability to prioritise effectively.
