Medical Receptionist & General Administrator (18-30hrs)

Job summary

We are a busy and rapidly expanding GP surgery looking for a part-time, Medical Receptionist/Administrator for an immediate start.

You will be required to work between our main site at Manor Street, Glossop and our two other sites, in Glossop and Hadfield.

The successful candidate will be the first point of contact for our patients and will have excellent customer care skills along with a pleasant and helpful personality. You will be willing to take part in all aspects of surgery activity and have a good work ethic and proactive attitude to your role. Duties will include, but are not extensive to:

Manning the front reception desk and assisting our patients both face to face and by telephone. You will also be proficient at dealing with all practice administration including communication via sms, email and other various electronic methods.

Prior experience of working in a General Practice setting would be desirable however, we will consider providing full training for candidates who have no prior GP surgery experience but have exceptional customer care, IT and communication skills (incl. email & Microsoft Office applications)

Greeting and welcoming visitors

Booking, amending and cancelling appointments and Care Navigation of patients to the appropriate clinician or service

Assisting GPs with administrative tasks as part of our new online triage HUB

Performing clinical administration tasks as required

Managing correspondence received via email, text and letter format

Carrying out requests from management as needed

Answering emails and sorting post

Assisting with patient recalls and invites

Any other duties required by the GP practice and consistent with the role

Job responsibilities

Main Purpose of the Post

To maintain the day-to-day smooth operating of reception processes, associated administrative processes and telephone systems.

To ensure patients and clients are offered a high quality, efficient service which is confidential, professional, knowledgeable and polite at all times

To provide a first line contact to patients and clients in person and via telecoms and IT.

Main Responsibilities of the Post

  • To handle all queries from patients and clients at the reception desks
  • To manage other general and internal queries
  • To ensure that any messages taken are clear and accurate
  • To answer the phone politely, confidentially and quickly to deal with patient requests as efficiently as possible
  • Arrange appointments, immediate and necessary treatment and home visits
  • Manage prescription requests and administer prescription processes
  • Use clinical system software including EMIS Web, Docman to enter clinical computer data with accuracy
  • Take petty cash and administer receipt of private fees according to policy
  • To maintain the good order of the reception area and other work areas and waiting rooms
  • Following appropriate training to engage in other reception and administrative duties such as scanning of hospital letters, note summarising, registration links etc.
  • To ensure daily tasks are completed in a timely efficient and accurate manner
  • To ensure that all protocols are adhered to at all times
  • To support and contribute to self and team development, treating colleagues with dignity and respect
  • To undertake additional work that may reasonably be assigned to you
  • To attend practice meetings and required training events
  • To work flexibly, across sites, when required and with due notice – covering staff absences and holidays and chaperoning clinics if required
  • To undertake any other duties commensurate with the post as required by the management team or partners.

Qualifications

Essential
  • - GCSE grade A to C in English and Maths (or equivalent).

Experience
