Main duties of the job
As the first point of contact for patients, the GP Receptionist plays a key role in ensuring the smooth day-to-day running of the practice. Duties include welcoming patients, handling telephone and face-to-face enquiries, booking and managing appointments, and providing excellent customer service at all times.
The role also involves processing patient information, maintaining accurate records, handling incoming and outgoing correspondence, supporting clinicians and the wider practice team with administrative tasks, and ensuring patient confidentiality is maintained. Receptionists help patients access the most appropriate service and contribute to creating a professional, friendly, and efficient environment for both patients and colleagues.
This is a busy and varied role that requires excellent organisational and multitasking skills. The successful candidate will be able to manage multiple priorities simultaneously, switch effectively between tasks, and remain calm and professional when working in a fast-paced environment. Job Summary.
The Post Holder will provide a point of contact for patients in an efficient and courteous manner and will undertake general reception, administrative and secretarial duties in conjunction with other practice staff. The Post Holders hours of work will be flexible to cover for periods of absence due to staff holidays or sickness. The post involves working as part of the Primary Health Care Team.
The Post Holders duties will include -1. To fulfil the role of receptionist in such aspects as telephone duties, message taking, appointments, filing, prescription preparation, home visit requests, booking interpreters and other general duties at the discretion of the Practice Manager.
2. Reception of patients at the surgery for appointments with the GP, Practice Nurse or other member of the Primary Health Care Team.
3. To become fully conversant with the computer system and to have responsibility for the input of patient data and prescription preparation.
4. To be able to assist in the summarising of patients medical records if required.
5. To be able to enter past and present medical histories onto the computer using templates or Read/Snomed Codes.
6. To be fully conversant with the scanning of patients hospital letters or other documentation into their computer medical record and to be fully conversant with the use of Docman to workflow documents.
7. To be fully conversant with the process of registering new patients.
8. To be conversant with Registration GP Links and GP2GP transfer of medical records.
9. To arrange urgent, or private, out-patient appointments for patients when necessary.
10. To be conversant with the procedure for dealing with requests, from Solicitors or other Agencies, for copies of medical records or medical reports.
11. To be conversant with the procedure for ordering prescriptions, medical certificates and other stationary obtained from Primary Care Support England.
12. To be fully conversant with the Practice Complaints Procedure and to be able to inform patients of the correct procedure.
13. To promote good relation with all colleagues, thus continuing the development of a team approach to all the above duties.
14. Dr Perkins Practice is committed to safeguarding and promoting the welfare of children, young people and vulnerable adults and expects all staff to share this commitment. The post holder will complete the required level of safeguarding mandatory training, demonstrate a good understanding of safeguarding and will strictly adhere to the Practices safeguarding policies and procedures.

16. To be aware of the Health and Safety regulations and to promote safe working practices within the Practice and the Integrated Care Centre.
17. To take part in the appraisal / personal development system operating in the practice.
18. To attend and participate in practice meetings.
19. To behave in a professional manner at all times when dealing with patients and colleagues.
20. To provide cover during periods of sickness and absence.

Qualifications
- Good standard of general education, including GCSEs (or equivalent) in English and Mathematics.
- Competent IT skills, including use of Microsoft Office applications, email, and data entry systems.
- NVQ Level 2 or equivalent qualification in Business Administration, Customer Service, or a related subject.
- Reception or healthcare administration training.
Experience
- *Previous experience in a receptionist, administrative, or customer service role.
