Your Role
As the Head of Operations, you will be the primary lead and builder of our organisational infrastructure. This is a role for a tech-native operator who is as comfortable configuring a CRM as they are drafting a policy. You won't just design systems; you will physically build the automation and AI-driven workflows that ensure every department—Engineering, Content, Marketing, and Customer Success—works in perfect synchronicity.
Your focus is efficiency through technology. You will build the frameworks for risk management and internal compliance while constantly hunting for ways to automate. You will work closely with the CEO to turn our vision into a high-performance culture where SOPs are digital, interactive, and optimised.
What you’ll be responsible for:
- Own the full lifecycle of our internal tooling. You will be responsible for the hands-on configuration, integration, and maintenance of these apps.
- Audit every core business function to identify manual bottlenecks and implement AI or automation solutions (e.g LLM-based content tagging, automated customer support flows, or Zapier integrations).
- Owner of our internal How-To library. This means sitting with teams to map their daily tasks and physically building step-by-step Standard Operating Procedures (SOPs) in Notion or Scribe.
- Write and roll out a comprehensive suite of company policies—covering everything from UK GDPR to the Children’s Code—ensuring we meet all regulatory standards through digital-first tracking.
- Build and populate the Digital Data Room for the business, ensuring all legal and structural documentation is organised, digitised, and professional-grade for future strategic opportunities.
- Set up and track the frameworks for KPIs, building the automated dashboards that link individual performance to learner outcomes.
- Implement digital risk management controls and business continuity plans, ensuring the company's "nervous system" is resilient and secure.
- Execute the hiring and onboarding experience, using automation to ensure every new hire has a seamless, professional start from day one.
What you’ll bring
Experience and Execution
- 4+ years in operations or PM roles, with a proven track record of building the internal machine for high-growth SaaS or EdTech ventures.
- You are an early adopter of AI tools (ChatGPT, Claude, Perplexity) and know how to apply them to business workflows to save time and improve quality.
- Direct experience in writing and enforcing corporate governance and compliance frameworks, but with a focus on digital-first implementation.
- You know exactly what an audit-ready digital environment looks like and how to keep a data room clean through automated filing and naming conventions.
Technical & Organisational Skills
- Expert at configuring workflows and automations using modern stacks (e.g., Notion, Jira/Asana, HubSpot, Stripe, Zapier/Make).
- You don't just look at reports; you know how to build them. You are comfortable digging into raw data to find and fix process breaks.
- Solid understanding of UK employment law, UK GDPR, and the Children’s Code.
Communication and Mindset
- A zero-compromise approach to quality; you take pride in the clarity, logic, and professional finish of every automated workflow and document.
- You don't wait for a dev team; if there’s a no-code or AI solution to a problem, you’ll find it and build it yourself.
