ICT Asset Management Officer
Job summary
The ICT Asset Management Officer role is a mixture of working within the ICT Developments Warehouse at Blackpool Victoria Hospital and taking kit and doing stock audits for University Hospitals Morecambe Bay sites (Barrow, Kendal And Lancaster). While maintaining the data within theTrust's Configuration Management Database (CMDB).
The ICT Asset Management Officer is responsible for performing regular audits on Trust ICT assets by analysing and interpreting data fromvarious ICT systems or by physical audits across NHS sites. They are also responsible for monitoring the usage of assets (hardware andsoftware) to ensure effective utilisation throughout its lifecycle.
When working in the ICT Developments Warehouse, they are a focal point for internal & external customers for asset availability. They areresponsible for a variety of activities from receipt to the disposal of ICT assets, including stock management and allocation; ensuring all trackedassets are added to the Trust's CMDB and maintaining a safe and secure warehouse environment.
Main duties of the job
Accepting Deliveries of varies types of ICT Equipment
Tagging and Recording of All Received ICT Equipment to be input in to trusts Configuration Management Database systems.
Assign Equipment to requests, Liaise with engineers to assist in scheduling and prioritising own work whilst maintaining data integrity withina secure and controlled environment
Stock Management and Audits of Equipment on Warehouse area's
Perform inventory audits of all ICT equipment in use across the Trust(s), at all sites, via liaising with users to validate data or visiting sites to takeinventory, recording and reporting on any discrepancies.
Process out of date IT Equipment to be disposed to maintain the trusts Waste management and Information governance policies
Collect equipment from all NHS sites identified as no longer in use and return to the warehouse for disposal or reuse.
Interrogate and manipulate data sets using a variety of applications to ensure accurate records are being maintained. Addressing any anomalieswithin the data sets and escalate any issues that cannot be resolved.

Job responsibilities
1. Maintain Licencing records, archiving and removing obsolete licences as required
2. Maintain data integrity of CMDB (hardware and software), performing regular audits on the data and addressing any anomalies asidentified
3. Assist in the standardisation of applications and hardware by logging pro-active incidents for engineers to upgrade/replace non-standard items
4. Maintain list of ICT contracts within the CMDB and liaise with Contract Managers to keep the records up to date
5. To receive goods from suppliers and carriers into the ICT Warehouse and to document such deliveries using the appropriate, procedures. Check and inspect deliveries to ensure accurate quantity and type and are of acceptable quality. Dispose of packaging recycling where possible
6. To prepare goods for return. Liaising with carriers and obtaining signatures when dispatched
7. To security tag and property mark all items to be placed in the Trusts CMDB and to upload the data onto the CMDB
8. Maintain computer records on the CMDB by entering and retrieving information related to the receipt, storage, allocation & disposal of equipment, to ensure the smooth running of the warehouse
9. Utilise space to its optimum efficiency while maintaining good housekeeping standards, including undertaking routine cleaning duties of the warehouse areas
10. Ensure stock is rotated as appropriate, including equipment stored in the cages out on other NHS sites.
11. Protect stock from destruction, abuse, fire and theft whilst in the care of the warehouse
12. Agree re-order levels of stock items and review with management on a regular basis. The post holder will be required to produce and interpret reports to illustrate usage of equipment
13. To generate and provide stock lists on a monthly basis for stock checking purposes, carry out continuous stock checks and ensure that stock levels are adjusted accordingly. Details of items counted and quantities in stores to be maintained on stock sheets and the relevant Trust(s) computer systems. Liaise with teams/management on slow moving/obsolete items.
14. Assign equipment to jobs, Liaise with engineers to assist in scheduling and prioritising own work whilst maintaining data integrity within a secure and controlled environment
15. Manage the receipting of returned/replaced equipment for disposal or reuse as appropriate, monitoring disposals and ensuring data related to those assets is archived or updated as applicable on the relevant systems, including the CMDB
16. Ensure data and any reusable parts are removed from returned equipment prior to disposal, in line with Trust policy
17. Manage 3rd party collections, including redundant hardware and bulk recycling, preparing/processing items ready for the collections
18. To support the Requisitioning Team, having a working knowledge of the relevant computer systems, to ensure the department operates within the Trust(s) policies and procedures including Standing Financial Instructions and Standing Orders
19. Work independently for most of the time, guided by standard operating procedures. Generate own daily work plan in line with customer requirements, re-prioritising work to accommodate unscheduled changes
20. Be flexible in covering the duties of other staff as required, including providing query support on ICT procurement processes
21. Undertake relevant continued professional development.
22. To adhere to the current departmental uniform/dress code
23. To perform regular Health & Safety audits on the warehouse working areas
24. Work in accordance with the requirements of statute, technical guidance and codes of practice and Trust and Departmental Policies and Procedures
25. Travel between sites for equipment delivery/collections and when performing audits, using Trust vehicles where appropriate.

Qualifications
- Educated to NVQ Level 3 in a relevant subject or equivalent experience.
- ITIL Foundation (Green Badge)
- Licensing qualification
- Logistics or Stock Management qualification
Experience & Knowledge
- Experience of asset management systems including configuration management and lean techniques
- Experience of clerical & warehouse duties
- Excellent working knowledge of Excel, including pivot tables
- Knowledge of ITIL components such as Change Management
- Understanding NHS structures and procurement processes
- Microsoft Office Suite Intermediate and Advanced
Driving Licence
- Full UK Driving Licence
