Design and Print Assistant
Job summary
The Design and Print Services team undertakes the design, layout and updating of various items for ESNEFT (such as posters, information cards, leaflets, banners, forms etc) many of which are then printed by the in-house print team.
The department, which is located at Ipswich Hospital, is looking for a genuinely fast learner who can work calmly and efficiently, follow processes accurately, has excellent people skills, good time management skills, and can re-prioritise their workload as task priorities change throughout a busy working day.
The successful applicant will need to be methodical, careful, a good communicator, extremely well organised, and be able to retain information/instructions and have a proactive approach to administrative and technical processes.
Full training will be given but good computer literacy is a must. A basic knowledge of photocopying, printing files and spreadsheet entry would be an advantage, as would good manual dexterity.
Some of the tasks can be very physical so an ability to move and handle heavy boxes of printing/laden trollies is necessary.
The typical working week will be working in Print Services on Thursdays and Fridays, and Design/Print Services for one other agreed weekday.
Main duties of the job

Design Services
Managing Design Services busy generic mailbox.
Booking requests into computerised administration system.
Chasing items that have been sent to requesters for checking but which have not been returned within a reasonable timeframe.
Sending out items to be reviewed, recording all related activity, and chasing if no response has been received within a reasonable timeframe.
Ensuring the correct version controlling of designed items.
Providing advice to requesters regarding Design Services activity.
Print Services
Managing Print Services busy generic mailbox.
Booking requests in and out of computerised administration system.
Providing advice to requesters on the suitability of photocopying/printing an item.
Providing advice to requesters regarding Print Services activity.
Printing from digital files using networked computers and printers.
Laminating printed items.
Trimming, binding, drilling, padding printed items as needed.
Packing completed orders neatly and with care.
Dispatching completed orders by appropriate method (internal/external post, delivery volunteer, courier).
Lifting and moving heavy boxes of paper, materials etc, and moving laden trolleys.

Person Specification
Experience
- Previous administrative/printing role
- Working collaboratively as part of a team
- Advanced IT Systems including - Microsoft Office
- Experience of communicating with a range of people both within and external to the organisation
- Experience of office work
- Experience of printing documents
- Experience of working with photocopiers and or printers
- NHS experience
- Experience within relevant work area
- Print finishing experience including: encapsulation, trimming and drilling (bulk hole punching)
Qualifications
- GCSE grade 5/C or equivalent in English and Maths
- NVQ Level 3 in administration or equivalent
Knowledge
- Confidentiality and Data Protection
- Computer literate
- Previous knowledge of Microsoft Office
- Experience of data entry and retrieval
- NHS Knowledge of relevant work area
- Understanding of printing process (including digital and offset)
- Experience of Adobe products (InDesign and Acrobat in particular)
