Facilities Management Systems Coordinator
A fantastic opportunity has arisen for a Facilities Management Systems Coordinator to join the FM Workplace Systems Team, taking a leading role in developing, improving, and maintaining the CAFM mobile solution and wider FM technologies across the UK Estate.
This role reports directly to the senior FM Systems Manager and sits at the intersection of operational FM and digital innovation, combining technical expertise with practical, user-focused system delivery.
Key Responsibilities:
- Lead the improvement and maintenance of the CAFM mobile solution, ensuring it meets evolving operational and user needs
- Support the design, development, and implementation of future FM technologies and digital tools
- Manage and optimise system configurations, integrations, and workflows within Planon and related platforms
- Analyse, diagnose, and resolve technical and functional issues to ensure system stability and performance
- Translate operational and business requirements into technical specifications and system solutions
- Work closely with FM operational teams, stakeholders, and suppliers to deliver practical, user-focused solutions
- Drive continuous improvement through innovation, automation, and process optimisation
- Support system upgrades, releases, testing, and documentation
- Promote best practice in data quality, governance, and system usage across the estate
- Act as subject matter expert for CAFM systems and mobile technologies within FM function
The ideal candidate would have:
- Experience translating business or client requirements into technical solutions
- Experience working with CAFM systems (Planon desirable) or similar FM/asset management platforms
- Experience or interest in mobile solutions and digital tools within FM
- Knowledge of data management, integration, and system configuration
- Background in Estates, Technical Services, or FM environments (desirable)
The ideal candidate must have:
- Proactive, analytical, and collaborative mindset
- Excellent problem solving and communication skills
- Ability to work independently while contributing effectively to a team
- Experience with JavaScript or similar technologies (highly desirable)
