GP Practice Prescribing Clerk
Job summary
Eden Park Surgery is looking for a reliable and organised Prescription Clerk to join our team as part of a job share arrangement. This is an important administrative role supporting the safe, accurate and timely processing of prescription requests for our patients.
The successful candidate will work closely with the existing Prescription Clerk, pharmacy team, clinicians and wider practice team to help ensure medication requests are managed efficiently and in line with practice protocols.
Duties will include processing prescription requests, checking whether medication reviews and monitoring are up to date, liaising with patients and pharmacies, maintaining accurate patient records and escalating any clinical queries appropriately.
We are looking for someone with excellent attention to detail, strong IT skills, a polite telephone manner and the ability to manage a busy workload accurately. Experience in general practice is essential. Experience of EMIS Web and prescription administration would be helpful, but training will be provided for the right candidate.
This role would suit someone who is methodical, dependable, patient-focused and able to work well both independently and as part of a supportive team.
Main duties of the job
The Prescription Clerk will support the day-to-day running of the prescription service by managing incoming medication requests, checking relevant patient information and ensuring requests are handled in line with practice protocols. The role involves using EMIS Web, EPS tools, Outlook, clinical tasks and searches to process work accurately and keep records up to date.
Key duties include liaising with patients, pharmacies, clinicians and the pharmacy team; tracking prescription queries; checking medication review dates and monitoring requirements; arranging appropriate follow-up where needed; and escalating any clinical concerns or unclear requests. The post holder will also help manage prescription emails, action medication-related correspondence, support searches or medication switches, and assist with the monthly PPA return for personally administered items.
The role requires clear communication, good organisation, careful record keeping and the ability to manage multiple tasks while maintaining accuracy and confidentiality.

Prescription Clerk Job Share Eden Park Surgery, Beckenham Reports to: Practice Manager Line Manager: Operations/Administration Manager Supervisor: Senior Prescription Clerk / Pharmacy Team Working Pattern This is a job share role, with the working week split between two post holders. Post holders will be expected to provide reasonable cover for one another during annual leave, sickness or other agreed absence to maintain continuity of the prescription service. About the Role Eden Park Surgery is looking for a reliable, organised and detail-focused Prescription Clerk to support the safe, accurate and timely processing of prescription requests. This is an important administrative role within a busy GP practice, working closely with clinicians, the pharmacy team, administrative colleagues, patients and local pharmacies.The role involves receiving and processing medication requests, checking that medication reviews and monitoring are up to date, maintaining accurate patient records and escalating any clinical concerns or unclear requests appropriately. The post holder will use clinical systems, electronic prescription tools, searches, inboxes and patient records throughout the working day.The role also includes checking correspondence such as hospital letters and discharge information, liaising with the pharmacy team where needed, and ensuring medication changes are handled safely and communicated appropriately. Main Duties and Responsibilities The post holder will:
- Work collaboratively with the other Prescription Clerk in the job share arrangement, ensuring clear handover, shared awareness of outstanding tasks and continuity of service.
- Provide reasonable cover for the other job share post holder during annual leave, sickness or other agreed absence.
- Deal with prescription requests from patients, representatives and allied professionals.
- Support vulnerable patients, including those requiring 7-day dispensing or post-dated prescriptions.
- Liaise with local pharmacies regarding prescription queries and stock issues.
- Deal with requests for out-of-stock medication with support from the clinical pharmacy team.
- Keep patients updated on the progress of prescription requests and arrange reviews where appropriate.
- Use EPS, electronic repeat dispensing and the EPS Prescription Tracker Portal.
- Use clinical systems, EPS tools, searches, tasks, inboxes and patient records accurately and confidently.
- Ensure the safe and efficient transfer of prescriptions electronically to the patients nominated pharmacy.
- Update records where pharmacy nominations change.
- Complete communication forms for pharmacies when required.
- Support searches, reports, recall lists and medication-related switches.
- Check and amend patient demographics at every contact.
- Maintain accurate, complete and up-to-date records.
- Escalate prescription requests requiring clinical input to the pharmacy team or relevant clinician.
- Monitor the prescriptions email inbox and respond appropriately.
- Action medication-related documentation forwarded to the prescription team.
- Check that appliance requests are in line with agreed processes.
- Liaise with patients where further information is needed about acute or past medication requests.
- Check whether medication reviews, blood tests or observations are up to date before processing repeat prescription requests.
- Identify patients with overdue monitoring, such as blood pressure, height, weight or blood tests.
- Contact patients where monitoring is needed before further medication can be issued.
- Request blood tests or arrange monitoring appointments where appropriate and within agreed processes.
- Escalate overdue, abnormal, unclear or clinically concerning monitoring issues.
- Record all prescription and monitoring actions accurately in the patient record.
- Support the monthly PPA return for personally administered items.
- Participate in an annual quality audit related to prescribing.
Experience and Skills Candidates must have excellent attention to detail, strong IT skills and confidence using electronic systems accurately. They should have a good telephone manner and be able to book appointments, check review and monitoring requirements, take appropriate action in line with agreed protocols, process medication requests and maintain accurate records.Background knowledge of medicines optimisation, safe repeat prescribing, medication monitoring requirements and waste management would be an advantage but is not essential, as training will be provided.Essential Requirements
