Role Summary

We’re looking for a highly organised and proactive Operations Executive to keep the business running smoothly across client delivery, team operations and internal processes.

You’ll act as the engine behind the team, ensuring nothing gets dropped, priorities are clear and work is delivered on time.

This is a hands-on role where you’ll bring structure, pace and follow-through, turning plans into results and stepping in quickly where things are unclear, slipping or at risk.

Key Responsibilities

Client & Project Operations

  • Manage all BAU activity through Asana, ensuring work is clearly tracked, prioritised and progressing
  • Monitor delivery against timelines and SLAs, identifying risks or delays early
  • Coordinate project tasks, timelines and updates across the team
  • Request and chase client information to keep delivery moving
  • Ensure client work is organised, prioritised and delivered efficiently

Team Operations

  • Act as a central point of coordination across the team
  • Prepare meeting agendas, focused on priorities and bottlenecks
  • Capture actions and ensure they are tracked and followed through in Asana
  • Provide visibility of blockers and risks, helping the team stay on track
  • Support capacity planning, ensuring the team is not overcommitted
  • Manage team logistics including recruitment coordination, onboarding, holiday and sickness tracking

Business Operations

  • Support continuous improvement of operational processes and ways of working
  • Maintain dashboards and tracking tools to provide visibility of delivery
  • Support forward planning and roadmap coordination
  • Ensure consistency and quality across delivery

About You

This is for you, if you have:

  • 3+ years’ experience in an operations, project coordination or team support role
  • Strong experience using Asana to manage workflows and track delivery
  • Excellent organisational skills, able to manage multiple priorities
  • Proactiveness and strong problem-solving skills with the ability to identify and resolve issues early
  • Confident communication skills to manage up, challenge and follow through
  • Experience in a fast-paced start-up / small business environment, or a delivery-focused environment (tech, professional services, education)
