About the Role
An established and growing financial services firm based in the City of London is seeking an experienced Operations Administrator to join its team. This is a varied and rewarding role offering exposure across operations, finance, compliance, HR, procurement, and office management.
Reporting directly to the Directors, you will play a pivotal role in supporting the smooth running of the business while helping to deliver an exceptional service to both clients and colleagues.
This position would suit an organised, proactive, and detail-oriented professional who enjoys taking ownership of a diverse workload within a regulated environment.
Key Responsibilities
Operations & Administration
- Manage a wide range of day-to-day administrative tasks and office operations
- Book meeting rooms and coordinate adviser appointments
- Maintain and update client and business records within the CRM system
- Complete client AML checks and assist with information gathering
- Manage incoming and outgoing post
- Answer telephone enquiries professionally and efficiently
- Liaise with IT providers and resolve office equipment issues
- Support Directors with business projects and ad hoc tasks
- Coordinate office management activities
Finance Support
- Assist with business income (fee) reconciliation within the CRM system
- Chase statements and support process automation initiatives
- Process introducer payments
- Assist with company bank reconciliations
- Support the administration of third-party technology platforms
Compliance & Regulatory Administration
- Coordinate and track Continuing Professional Development (CPD) requirements
- Produce and maintain Management Information (MI) reports
- Manage the company compliance calendar and key regulatory deadlines
- Coordinate internal and external file reviews with compliance consultants
- Maintain client documentation and regulatory records
- Distribute quarterly client newsletters and update the Financial Promotions Register
- Monitor regulatory and documentation updates through compliance support systems
- Organise board meetings and professional examination bookings
Procurement & Events
- Order office supplies and stationery
- Coordinate branded company materials and promotional items
- Arrange client gifts and referral hampers
- Organise team lunches, social events, and the annual company trip
- Manage office catering and ad hoc purchasing requirements
HR Support
- Assist with recruitment administration
- Support employment contract and staff handbook updates
- Coordinate annual staff reviews
- Help manage employee incentives and engagement initiatives
About You
To be successful in this role, you will have:
Essential Experience & Skills
- 3+ years' experience in an Operations, Office Management, or Senior Administration role within an IFA/Wealth Management/Financial Planning regulated business
- Experience coordinating teams and managing multiple stakeholders
- Degree-level education or a proven track record within a professional office environment
- Excellent verbal and written communication skills
- Strong Excel and Microsoft Office skills
- Good numerical and analytical ability
- Exceptional organisational and time-management skills
