Service Coordinator

Service Coordinator | £35,000 - £45,000 + Benefits | Hybrid | MSP

The role sits at the centre of a number of business activities, helping coordinate information, equipment, suppliers and customer requirements. It would suit someone who enjoys working across different areas of a business rather than being restricted to a single administrative process.

You’ll be expected to keep activities moving, identify issues before they become problems and ensure that information held across the business is reliable and current.

There is plenty of scope for the successful person to develop the position over time and become increasingly involved in wider operational projects.

What You’ll Be Responsible For

Keeping Things Moving

  • Monitor outstanding operational activity and ensure actions are completed on time.
  • Coordinate requests between customers, suppliers and internal departments.
  • Maintain visibility of upcoming deadlines, commitments and outstanding requirements.
  • Follow up where information, approvals or actions are missing.
  • Escalate potential problems and help drive them through to resolution.
  • Keep relevant systems and records updated throughout the process.

Customer & Commercial Support

  • Assist with ongoing customer service and support arrangements.
  • Review upcoming agreements and coordinate the relevant administration.
  • Gather pricing and information from external technology partners.
  • Help ensure commercial information is accurate before it is passed to the relevant teams.
  • Maintain records relating to customer services and associated requirements.
  • Respond to operational queries and coordinate information between the appropriate parties.

Equipment & Supply Coordination

  • Arrange the movement of technology equipment between suppliers, internal locations and customers.
  • Monitor deliveries and investigate delays or exceptions.
  • Coordinate replacement equipment where required.
  • Work with third-party logistics providers to resolve delivery issues.
  • Assist with the preparation and movement of equipment through the business.
  • Maintain appropriate records throughout the equipment lifecycle.

Information & Records

  • Maintain accurate information relating to equipment, customer services and supplier activity.
  • Regularly review data for inconsistencies or missing information.
  • Investigate discrepancies and work with relevant teams to correct them.
  • Ensure records are updated following changes, deliveries, replacements or service amendments.
  • Maintain documentation required for internal controls and reporting.

Supplier & Partner Coordination

  • Develop effective working relationships with external suppliers and technology partners.
  • Request and track information required from third parties.
  • Coordinate responses to operational and commercial queries.
  • Monitor agreed actions and chase outstanding items where necessary.
  • Build a clear understanding of how different suppliers and partners support the wider operation.

International Activity

  • Assist with the administration of equipment movements involving overseas locations.
  • Coordinate information required for cross-border transactions.
  • Support colleagues with relevant shipping and customs documentation.
  • Liaise with external parties where additional information is required.
  • Help ensure activities are completed in line with internal procedures and applicable requirements.

What We’re Looking For

You don't need to come from one particular background. The most important thing is that you are organised, commercially aware and comfortable taking ownership.

You are likely to have experience in one or more of the following:

  • Operations coordination
  • Service administration
  • Technology support administration
  • Order management
  • Procurement support
  • Customer operations
  • Business administration
  • Supply chain or logistics coordination

You'll also bring:

  • Excellent attention to detail.
  • Strong organisation and prioritisation skills.
  • The ability to manage several pieces of work simultaneously.
  • Confidence communicating with different levels of stakeholder.
  • Good written and verbal communication.
  • A practical approach to solving problems.
  • The ability to work independently without losing sight of wider team objectives.
  • Good general IT literacy, including Microsoft 365.
  • A willingness to learn new systems and processes.
