Front Line Support
Front Line Support (Remote) £25,000 - £30,000
Overview of the role:
Reporting to the Operations Manager and supporting all colleagues by ensuring that all necessary front line activities are undertaken effectively and efficiently to support the daily operations of the business.
The principal responsibilities of the Front Line Support;
- Monitor, co-ordinate and action incoming member and third-party communications / requests; including general enquiries, licence application requests, radio planning requests, windfarm requests and other activities using systems such as Freshdesk, Monday(.com) and other office software.
- Ensure information is kept up to date by updating systems such as Monday(.com), ICS Manager and Freshdesk, including production of monthly reports as required.
- Assist project activities with administrative / co-ordination activities as required
- Liaise with internal team members to ensure workflow progression.
- Undertake routine external communications on behalf of the company for ‘business-as-usual’ (BAU) activities.
- Support internal service level agreements, key performance indicators and the delivery of project deadlines by regular monitoring and dispatch of incoming requests.
- Administrative co-ordination and support of stakeholder / customer meetings as required.
- Document relevant activities to support the Quality Management System (QMS) as required.
- To contribute to the internal audit process for both QMS and ISMS and routine monitoring of the continual improvement processes.
- Own the relevant quality management activities and support the continuous improvement of the company's QMS. Facilitate audits as appropriate
- Ensure that all Information Security Systems and Processes are addressed and opportunities for improvement are targeted; and
- Assist with Financial Management activities in support of the Business Services Manager;
- Co-ordination and facilitation of events, to include Annual Members Meeting, Annual Seminar, JAG Meetings, workshops, etc..
Main Skills and Experiences Required
- Experience of using computers and software systems for a variety of tasks.
- Experience of keeping data up to date and accurate within a range of Data Management Systems.
- An understanding of the application and use of GIS systems would be an advantage.
- Competency in Microsoft applications including Word, Excel, Outlook.
- Excellent time management and organisation skills with the ability to multi-task and with strong work management and prioritising skills.
- Diligent with strong attention to detail, and the ability to work within defined quality management systems and processes.
- Excellent relationship management, influencing and all-round communication skills.
- Familiarity with QMS and ISMS systems;
- Understanding of Health, Environmental & Safety Management requirements relating to the working environment;
General Duties
- The delivery of ‘Front Line’ activities;
- The co-ordination, screening and appropriate action of Member / Third Party enquiries;
- Co-ordination of event / meetings both internal and external;
- Maintain information systems and ensure database records are current;
Qualifications
- As a minimum GCSE Maths and English (pass)
- Qualification to A’ level or equivalent or appropriate experience in a technical environment
- Evidence of working effectively in a technical environment and co-ordinating activities, including liaison both internally and externally;
- Comfortable handling third party enquiries and dealing with data.
