Workforce Planning Analyst

The Workforce Planning Analyst will play a key role in maintaining accurate, trusted resource data and delivering high-quality reporting that supports our client’s major Transformation Programme. You will ensure all data relating to capacity, capability and workforce planning is captured, validated and delivered on time.

Working as part of a small, friendly team (Programme Manager, Workforce Planning Manager and HR Manager), you will directly support the Programme Resource Manager with operational data tasks, continuous improvement activities, and ensuring strong governance across resourcing processes.

This is a fast-paced role ideal for someone who is detail-focused, proactive and committed to improving resource data accuracy to support strategic decision-making.

Contract Length: 6 months (potential extension or move to FTC)

Main Responsibilities Data Management & Reporting
  • Maintain, update and quality-assure resource data across multiple workstreams, ensuring accuracy and consistency.
  • Maintain version control, audit trails and clear documentation of changes to all resource data.
  • Gather regular resourcing updates from Programme Managers, Team Leaders and suppliers to keep workforce and capacity data current.
  • Manage structured Excel datasets to support integration with Power BI and Power Automate workflows.
  • Prepare high-quality reports, dashboards and MI using Excel and Power BI for stakeholders including the Resource Manager, Finance, HR and PMO.
Governance & Operational Support
  • Maintain and update organisation charts and process diagrams in Visio for the Transformation Programme.
  • Track resource movements (joiners, leavers, extensions, role changes) and ensure POs are raised and governance processes followed.
  • Support the Resource Manager with maintaining controls around approvals, SoWs, pre-invoicing and supplier oversight.
  • Provide timely, accurate data to Finance for forecasting and month-end reconciliation.
  • Coordinate with suppliers to ensure prompt submission of resourcing information and timesheets.
  • Contribute to process and tooling improvements by providing insights from day-to-day resourcing activity.
Essential Technical Skills
  • Experience working with structured data, ideally within a PMO, HR, resourcing operations or transformation programme environment.
  • Strong Excel capabilities, including pivot tables, formulas, data validation, and conditional formatting.
  • Ability to manage and update SharePoint lists and create structured datasets for reporting in Power BI and for Power Automate workflows.
  • Experience producing accurate resource reports and dashboards in Excel and Power BI.
  • Proven experience maintaining Visio organisational charts and process diagrams.
Analytical & Delivery Skills
  • Strong attention to detail, ensuring data accuracy and completeness.
  • Ability to follow established processes and maintain robust documentation and audit trails.
  • Strong organisational skills, able to manage multiple data requests and deadlines.
  • Ability to interpret workforce/capacity data and flag gaps, errors or inconsistencies.
Stakeholder & Team Skills
  • Confident engaging with colleagues across teams to gather updates and clarify data issues.
  • Clear communication skills, able to explain data queries and insights.
  • Collaborative team player who works well across PMO, HR and Programme functions.
  • Proactive in identifying errors, risks or opportunities for process improvement, working closely with Resource, HR and Workforce Planning Managers.
Desirable Skills
  • Experience supporting a PMO or working within a transformation programme.
  • Familiarity with resource planning, capacity reporting or workforce MI.
