The SharePoint & Information Management Lead is a specialist technical role responsible for the design, configuration, and continuous improvement of Microsoft 365 and SharePoint Online services to support effective collaboration, information management and knowledge management across GBE-N.
Working across the organisation and closely with the SMR Programme, and in collaboration with Data Architecture to ensure alignment with enterprise data models and organisational structures, the role will ensure that information is structured, accessible and managed in accordance with information management standards, business needs and regulatory requirements.
The postholder will provide expert technical advice on SharePoint and Microsoft 365 capabilities, enabling the effective implementation of document management, information governance and knowledge management practices within a complex and highly regulated environment.

Accountabilities & Responsibilities:
- Design, configure and administer SharePoint Online and Microsoft 365 collaboration environments, sites and solutions that support effective collaboration, knowledge sharing and information management across GBE-N.
- Implement and maintain information architecture standards, including taxonomy, metadata, document structures and naming conventions, as defined by the Knowledge & Information Management function and data architecture, to improve the findability, usability and governance of organisational information.
- Implement and manage document lifecycle controls, ensuring information is retained, reviewed and disposed of in accordance with organisational policies, retention schedules and regulatory requirements.
- Configure and optimise Microsoft 365 compliance capabilities, including retention policies, records management, eDiscovery and related governance tools, to support legal, regulatory and business requirements.
- Develop and maintain secure access control frameworks within SharePoint and Microsoft 365, ensuring information is protected, appropriately shared and accessible to authorised users.
- Work collaboratively with stakeholders across GBE-N, including Digital, the SMR Programme and Knowledge & Information Management teams, to understand business needs and deliver effective SharePoint solutions that support organisational objectives.
- Provide expert technical advice and guidance on SharePoint, information management and Microsoft 365 best practice, ensuring solutions align with evolving business, governance and compliance requirements.
- Support user adoption and capability development through the creation of guidance, training materials and engagement activities that promote consistent and effective use of SharePoint and related technologies.
- Monitor, review and continuously improve the effectiveness of SharePoint governance, implementation and compliance arrangements, identifying opportunities to enhance knowledge management, information stewardship and user experience across the organisation.
- Contribute to the ongoing development and refinement of information architecture, taxonomy and knowledge management approaches by providing technical expertise, user insight and implementation feedback, constructively challenging and influencing design where appropriate.
- Experience administering and developing SharePoint Online and Microsoft 365 environments, including the design and implementation of scalable information management and collaboration solutions within complex organisations.
- Strong knowledge of information governance, records management and information lifecycle management principles, with experience of applying these in practice to support organisational compliance and effective information stewardship in alignment with defined standards and policies.
- Experience implementing and managing Microsoft 365 compliance capabilities, including retention policies, records management, eDiscovery and related governance controls, ensuring alignment with organisational information governance and data protection requirements.
- Excellent understanding of relevant legislation and standards, including UK GDPR, the Data Protection Act 2018, Public Records requirements and wider information governance best practice, with the ability to translate these into practical technical solutions.
- Demonstrable experience in implementing information architecture, taxonomy, metadata management and content classification models, enabling effective organisation, retrieval and governance of information assets.
- Experience designing and delivering workflow automation and process improvements using Microsoft 365 technologies to improve efficiency, consistency and user experience while maintaining appropriate governance and compliance controls.
- Strong stakeholder engagement and communication skills, with the ability to explain technical concepts clearly, influence decision-making and build effective working relationships with colleagues at all levels of the organisation.
- Experience working collaboratively with the Knowledge & Information Management functions, data architects and digital teams to translate governance and business requirements into effective technical delivery.
- Experience supporting user adoption, training and continuous improvement initiatives, helping colleagues confidently utilise SharePoint and Microsoft 365 capabilities and embed good information management practices.
- Experience working within highly regulated or programme-based environments, where governance, compliance, security and auditability are critical considerations. Experience within government, infrastructure, energy, nuclear or similarly regulated sectors would be advantageous.
- Degree-level qualification in a relevant discipline, or equivalent demonstrable professional experience.
- Relevant Microsoft 365, SharePoint, Information Management, Records Management or Information Governance certifications would be beneficial.
- Evidence of continuing professional development in Microsoft 365, SharePoint or Information Governance disciplines (including information management, data protection or knowledge management practices).
