Data Quality Clerk
Job summary
Join our Data Quality Team and play a key role in keeping patient information accurate, safe and up to date across our core clinical systems. As a Data Quality Clerk, you'll carry out essential tasks such as correcting patient details, managing alerts, completing registrations, and supporting system users to ensure our data is reliable and supports high-quality patient care. You'll work closely with teams across the Trust, using your attention to detail, IT skills and problem-solving approach to help maintain the integrity of our PAS/EPR systems. If you're organised, methodical and passionate about getting data right, we'd love to have you on the team.
Main duties of the job
As a Data Quality Team Clerk, you will help ensure patient information is accurate, timely and complete across the Trust's clinical systems. Your duties include completing daily data checks, correcting registrations, updating alerts, carrying out system merges and generating daily Traces for national systems. You will run routine reports, maintain audit trails, identify data issues, and support the preparation of information for Data Quality meetings. Working closely with colleagues, you will provide cover when needed and contribute to improving data quality processes, supporting safe and effective patient care.

Job responsibilities

Daily data checks undertake routine data quality and cleansing tasks, including event maintenance and correcting data errors.

Patient registrations check for completeness and accuracy, updating records as required.

Patient alerts create, update and close alerts in line with Trust procedures.

System merges carry out patient record merges in accordance with local guidelines.

Routine reporting run regular reports and support updates to system master files (GP practices, postcodes, NHS numbers).

Daily Traces generate and retrieve Traces to update the NHS Portal, Summary Care Record and Medway.

Audit trails maintain accurate records of all data corrections for audit and managerial purposes.

Issue escalation identify data quality issues and trends, escalating concerns where appropriate.

Meeting support assist with producing reports for Trust Data Quality meetings.

Team support provide cover for colleagues, offer guidance to system users and contribute to process improvements.

Policy compliance ensure all work adheres to confidentiality, information governance, health and safety and Trust policies.
Person Specification
Qualifications
- GCSE standard education
- End-user PAS/EPR or other key clinical system training
- IT training equivalent to ECDL basic level
- ECDL or equivalent IT qualification
- Training in other hospital systems
Experience
- Experience using or supporting users of PAS/EPR or other key clinical systems
- Knowledge of hospital operational processes
- Systems configuration and maintenance experience
- Data analysis experience
