Due to continued growth my client is seeking a Service Operations Coordinator to join the team. Working within a collaborative team, you'll play a key role in ensuring operational processes run efficiently, customer commitments are met and service information remains accurate. The position offers genuine scope for progression, with opportunities to take ownership of new responsibilities and contribute to improving processes as the business continues to grow. You will:

  • Manage maintenance agreements, service contracts and renewal schedules.
  • Ensure customer renewals are completed within agreed timescales.
  • Coordinate renewals and obtain pricing, quotations and approvals.
  • Liaise with vendors and distributors to secure quotations and resolve queries.
  • Maintain accurate records of contracts, renewals and support agreements.
  • Assist customers with support entitlement and service continuity enquiries.
  • Coordinate deliveries, collections and warehouse activities.
  • Monitor shipments and ensure customer orders are delivered on time.
  • Support UK and international logistics requirements.
  • Work closely with suppliers, distributors and courier partners.
  • Assist with urgent operational requests and equipment pre-staging where required.
  • Coordinate equipment replacements, returns and warranty claims.
  • Maintain accurate documentation and tracking records.
  • Liaise with suppliers and logistics partners regarding collections and replacement equipment.
  • Support import and export documentation and customs processes.
  • Assist with VAT, customs and regulatory compliance requirements.
  • Work alongside finance and external partners to ensure all documentation is completed accurately.
  • Help maintain compliance with import and export regulations.
  • Maintain accurate records of hardware assets, serial numbers and product information.
  • Ensure assets are correctly registered against customer support agreements.
  • Verify support entitlements and investigate any data discrepancies.
  • Maintain accurate audit trails and operational records.
  • Act as a central point of contact between customers, suppliers, vendors and internal departments.
  • Follow up on outstanding actions and approvals to ensure customer expectations are met.
  • Escalate issues where appropriate and provide regular operational updates to stakeholders.

The ideal candidate will have:

  • Previous experience within an administration, operations, service coordination or business support role. Ideally gained within an IT, technology, managed services or professional services environment.
  • Excellent organisational skills with the ability to manage multiple tasks simultaneously.
  • Strong attention to detail and confidence working with data and documentation.
  • Excellent written and verbal communication skills.
  • A proactive approach with strong problem-solving abilities.
  • Experience using operational, procurement, service management or order processing systems.
  • Good working knowledge of Microsoft 365 applications.
  • Commercial awareness and a customer-focused mindset.
  • A willingness to learn, develop and take on new responsibilities as the role evolves.

Working hours are Monday to Friday 9am to 5.30pm.
