Rota Coordinator for Critical Care & Anaesthetics

Job summary

The Rota Co-ordinator for Critical Care and Anaesthetics is responsible for the effective co-ordination, management, and administration of medical rotas across the Critical Care and Anaesthetic Departments within Hampshire Hospitals NHS Foundation Trust. Working closely with the Deputy Operational Service Managers, Clinical Leads, Clinical Director, Consultants, and Resident Doctors, the post holder will ensure the provision of safe and efficient medical staffing arrangements that support service delivery across both hospital sites. This will involve some cross site working between Basingstoke and Winchester Hospitals.

The role involves the day-to-day management and maintenance of medical rotas using the Trust's electronic rostering systems, including dbRotas, CLW, E-Rota, and Allocate. The post holder will ensure appropriate staffing levels are maintained, coordinate leave requests, support training and educational requirements, and respond proactively to short-notice staffing changes to minimise disruption to patient care.

Main duties of the job

  • To work with the team to ensure that the critical care and anaesthetic units have 24/7 cover and that the on-call sessions are covered with appropriate skill mix, escalating issues as required.
  • To have responsibility for the day-to-day management of the rotas.Ensuring safe staffing levels are maintained and gaps are filled appropriately.
  • You will be responsible to actively deal with rota, personnel and other queries and troubleshoot problems that may arise.
  • Responsible to ensure all changes to the rota are conveyed to the relevant staff member in a timely and efficient manner.
  • Receive all annual leave and study leave requests for all doctors, and process these according to policy, ensuring adequate cover is available and liaising with the doctors where necessary
  • Communicate vacant shift information to bank workers and internal staff to seek to fill these shifts via Locum's Nest.

Training & Qualifications

Essential
  • Good standard of general education including English and Maths GCSE level 4 and above or equivalent qualification.
  • A levels/NVQ 3 or able to demonstrate equivalent level of experience in an administration or secretarial capacity
  • ECDL or equivalent IT experience.
Desirable
  • Evidence of continuing personal and professional development

Experience & Knowledge

Essential
  • Experience of working procedures and practices gained in medical education, HR or operational administration.
  • Previous problem-solving experience
  • Experience in managing rotas
  • Managing own workload
Desirable
  • Experience of working in a busy NHS environment
  • Knowledge of using CLW, dbRotas or Allocate
  • Familiarity of HHFT policies and procedures
