Hays are delighted to be supporting a leading public sector organisation in London in the recruitment of an experienced CAFM Systems Manager to join their Estates and Facilities team on an interim basis.
Your new role
This is an excellent opportunity for a CAFM professional to lead the development, optimisation and governance of a complex Computer Aided Facilities Management (CAFM) system across a diverse property portfolio. The successful candidate will play a key role in ensuring high-quality asset data, supporting statutory compliance, and driving the effective use of technology to enhance estate performance.
As CAFM Systems Manager, you will be responsible for managing and developing the organisation's CAFM platform, ensuring it supports operational, strategic and compliance requirements across the estate.
Key responsibilities will include:

  • Leading the day-to-day management of the CAFM system and associated databases.
  • Developing system functionality, workflows and reporting capabilities.
  • Ensuring data integrity, governance and compliance across asset and maintenance records.
  • Managing asset data migration, validation and cleansing activities.
  • Supporting planned and reactive maintenance programmes through effective system utilisation.
  • Producing performance dashboards and management information reports.
  • Working closely with Estates, Facilities, Capital Projects and IT teams.
  • Managing external CAFM providers and software vendors where applicable.
  • Delivering user training and driving system adoption across stakeholder groups.
  • Supporting compliance reporting relating to statutory maintenance and asset management.


What you'll need to succeed
To be successful in this role, you will demonstrate:

  • Significant experience managing CAFM systems within a large and complex estates environment.
  • Strong understanding of asset management, planned maintenance and statutory compliance.
  • Experience working with CAFM platforms such as Planon, Concerto, MRI Evolution, Maximo, Planet FM, AssetWorks or similar systems.
  • Proven ability to lead system improvements, upgrades and data management projects.
  • Strong analytical and reporting skills, including experience producing management information and KPI dashboards.
  • Excellent stakeholder management and communication skills.
  • Experience working within the public sector, NHS, higher education, local government or a similarly regulated environment would be highly advantageous.
