ESR and People Data Trainee
Are you passionate about data, systems, and making a difference in the NHS workforce? HEIW is offering an exciting opportunity to join our People and Facilities Management Team as an ESR and People Data Trainee. This role is designed to support your development into a future ESR and People Data Officer, with structured training and a competency framework guiding your progression.
You'll work closely with colleagues across HEIW to deliver accurate workforce data, support ESR system administration, and contribute to strategic workforce planning. This is a fantastic opportunity to build your expertise in ESR and people analytics while gaining hands-on experience in a dynamic and supportive environment.

 - Is eager to learn and grow within the NHS workforce systems landscape.
 
A background in HR, data analysis, or workforce administration is desirable. Knowledge of ESR would be an advantage but isn't essential. Familiarity with Excel functions such as formulae and pivot tables will be beneficial.
Main duties of the job
- Provide timely and accurate workforce data using Business Intelligence dashboards and reports.
 - Support ESR system administration including establishment control and position number setup.
 - Respond to data queries and requests from across HEIW.
 - Monitor and improve data quality through validation and cleansing.
 - Deliver ESR training and support to staff and managers.
 - Collaborate with People Business Partners and other teams to resolve data anomalies.
 - Contribute to the development and implementation of ESR functionality.
 - Prepare for the Future NHS Workforce Solution implementation.

Progression
This is a trainee role with a structured competency framework and training programme that will last for 2 years. After 2 years successful completion of the competency framework will lead to progression from the band 4 trainee role into a Band 5 ESR and People Data Officer role.

Qualifications & Knowledge
- NVQ Level 4 or Diploma equivalent experience in Business Administration, Human Resources Management, Information Management, IT, or a related field
 - Advanced knowledge and use of various Microsoft Office Software programmes including Outlook, Word, PowerPoint, and Excel
 - ECDL or equivalent IT/systems qualification or demonstrable equivalent knowledge and experience in data management and/or information systems support
 - Working knowledge and understanding of the principles of the Data Protection Act and Information Governance protocols
 - Ability to understand service user requirements and to communicate technical information to a non-technical audience through a variety of mediums e.g., face to face/email/phone/presentation/training
 
- Practical experience of the Electronic Staff Record (ESR) system, including its operational functions and data structures
 - Awareness of Occupation codes, Staff groups and Job roles and their use in segmenting the workforce
 - Undertaken training session in relation to ESR System Administration and Local Work Structures
 
Skills & Attributes
- Welsh Language skills are desirable levels 1 to 5 in understanding, speaking, reading, and writing in Welsh
 
Experience
- Previous experience of working in an administrative role where it was necessary to provide regular support to team members with a wide range of tasks
 - Previous experience of working in an environment where there is a requirement to multitask and have a flexible approach to work whilst maintaining accuracy at all times
 - Experience of dealing with service users/customer service experience
 - Experienced in the use of formulae and Pivot tables in Excel in the analysis of data
 
- Responsibility for the day-to-day administration of one or more workforce systems
 - Experienced in the use of Business Intelligence reporting
 - Experience in handling sensitive and confidential information appropriately
