Job summary

We welcome applications for the role of Deputy Practice Manager at our Harewood Medical Practice based in Catterick Garrison, North Yorkshire.

This is a key role for a highly organised and proactive Deputy Practice Manager to ensure the smooth, efficient, and safe running of the practice on a day-to-day basis. Our patient needs are at the forefront of our minds as we plan and deliver a GP service befitting of the modern world. We are medium sized practice, with further growth in our population expected due to housing and other developments around the Garrison.

General practice has changed and it continues to evolve. We are excited by these changes and opportunities these changes will bring. We want to develop our use of AI and digital technologies to enhance patient experience.

We feel this role may best suit someone with a real passion for General Practice who has experience in the delivery of GP services, and who wants to work as part of a wider team offering support.

Hours of Work -37.5 hours per week, Monday to Friday (Harewood Medical Practice is open from 8.00am to 6.00pm Monday to Friday excluding bank and other public holidays)

Main duties of the job

As Deputy Practice Manager, you will be providing leadership and management for the non-clinical staff, and providing mentorship or training where required. Accountable for the management of the practice services, including health and safety, training, production and updating of office protocols and procedures. Working with the Senior Management Team to ensure legal and contractual requirements are met, you will ensure that practice is running efficiently and effectively.

Heartbeat Primary Care CIC is the GP Federation for the Hambleton and Richmondshire area. We have been delivering GP services via our Harewood practice since 2022 with a very established staffing model. Heartbeat has a mission is to improve health and meet everyday health and care needs by supporting the communities we serve with innovation and quality services. Harewood Medical Practice is an innovative training practice with a mission to deliver safe, person centred quality care in the dales, with respect, openness and honesty.

We are very excited by the prospect of moving from our existing premises to be the only NHS GP practice within the brand new Catterick Integrated Care Centre (CICC) in 2026. The CICC is a unique integrated care centre, bringing a range of health and social care services together under one roof in a purpose-built facility. A joint collaboration, and first of its kind, between the National Health Service (NHS) and Ministry of Defence (MOD).

Our existing team includes Finance and HR professionals who offer expert advice and support across the business. The practice team includes a range of multi skilled professionals, led by a management team of a Lead GP, Lead ANP and the Practice Manager with support from the Executive Director.

Job description

Job responsibilities

Ensure the smooth day to day operational running of the Practice, supporting both clinical and non-clinical staff in meeting patient needs and ensuring staff achieve their primary responsibilities.

Oversee the daily management of reception and administrative staff, ensuring efficient workflow.

Identify and implement operational efficiencies and improvements across the Practice.

Take an active role in recruitment, inductions and reviews.

Leading the management of the clinical system, always ensuring IT security and IG compliance and responding to and resolving all local IT issues.

Actively encouraging and promoting the use of patient online services.

Updating and acting as the focal point for the practice website and social media sites.

Managing capacity and access, utilising all tools available to monitor and meet demand.

Lead the management of the Patient Participation Group.

Act as a point of contact for the Practice Manager in their absence.

Promote and build a team environment capable of providing high quality administrative services to clinical colleagues and patients.

Ensure that the Practice procedures for locking down the Practice rooms are followed at the end of each day.

To provide a first point of contact with patients aggrieved or wishing to complain ensuring enquires / complaints are dealt with/investigated in the appropriate manner following the Practice Complaints Procedure.

To highlight/escalate any material workflow backlogs in the Practice clinical system.

To conduct annual appraisals and organise appropriate training to meet individual and Practice needs.

To support with facilities management contractors with regards to the Practices occupation of the building.

To support Health & Safety regulatory requirements ensuring compliance throughout the practice.

Person Specification

Experience

Essential
  • Experience of working in Primary Care.
  • Strong leadership skills with experience in staff supervision and development.
  • Excellent communication and interpersonal skills to support both staff and patients.
  • Ability to handle complex queries and complaints with professionalism.
  • Strong organisational and problem-solving skills.
  • Proficiency in healthcare IT systems, including Microsoft Office and practice management software.
  • Understanding of clinical diary management and rota planning
Desirable
  • Experience in NHS administration and an understanding of NHS policies.
  • Knowledge of the Data Security & Protection Toolkit.
  • An understanding of general business management
