About the role

We are looking for a highly organised and proactive Document Controller / Team Coordinator to join HTS. This is a varied role combining team coordination, administrative support and lead responsibility for document control across multiple projects.

You will play a key part in supporting project teams, managing information flow, maintaining accurate documentation and ensuring compliance with project protocols and standards. You will also help coordinate day-to-day team activity, support reporting and presentations, and act as a central point of contact for internal and external queries.

The successful candidate will be detail-orientated, confident, and able to manage a varied workload in a fast-paced environment. You should be comfortable working across both administration and technical document control, with strong communication, organisational and problem-solving skills.

Key responsibilities

  • Coordinate diaries, meetings, reminders and day-to-day team requests.
  • Provide administrative and PA support to Directors and project teams.
  • Manage document control processes across multiple projects using online portals and EDMS platforms.
  • Ensure project documentation is accurate, traceable, compliant and up to date.
  • Maintain revision control, audit trails, transmittals and document registers.
  • Support compliance with ISO 9001, ISO 19650 and internal procedures.
  • Act as a key contact for document control queries from internal teams, clients and consultants.
  • Produce fee proposals, PQQs, reports, presentations and project-related documentation.
  • Support project research, site history reviews and asset information collation.
  • Prepare resourcing, invoicing and document status reports.
  • Support team expenses, training coordination and general team administration.
  • Contribute to continuous improvement of document control systems and team processes.

Skills and experience

  • Previous experience in a Team Coordinator, Document Controller, Information Management or similar role.
  • Proficiency in Adobe InDesign is essential.
  • Experience within engineering, construction or the built environment.
  • Strong organisational skills and attention to detail.
  • Knowledge of document control processes and project information management.
  • Familiarity with ISO 9001 and ISO 19650 is desirable.
  • Experience using EDMS platforms such as Asite, Aconex, Viewpoint or BIM 360.
  • Strong Microsoft Office skills, particularly Excel.
  • Able to manage confidential information with discretion.
