Project Support Officer
Job summary
Provides project, operational, technical and administrative support to the Project Office to ensure successful delivery of projects to the timescales identified within the project plans. Develops, maintains and files project documentation in accordance to the department's standards. Maintains a professional working relationship with system suppliers, project and implementation team members and end users, and is a point of contact for project enquiries from end users and project key stakeholders. May provide training to key project team members required to ensure effective management of Project plans, project documentation and reports and risk and issue logs.
To have responsibility for specific key work projects/tasks, and will be required to act on their own initiative to see these through to a timely conclusion.
Main duties of the job
To co-ordinate and/or support the effective taking of minutes and transcription for the Project meetings; and to prepare and distribute agenda and supporting documentation for such meetings
To be competent in developing and maintaining good working relationships across the Trust.
To be able to work under pressure, use own initiative and work from minimal instruction to assist the Directorate's Board Members/Senior Management Team with their work loads.
To provide an efficient customer service, welcoming visitors and dealing with enquiries in person, letter, email or telephone.
To be competent in producing printed documents
undertake effective electronic diary management including arranging meetings/conferences and time outs, booking venues, arranging hospitality and organising travel arrangements, eg, booking trains/hotels
To be conversant in inducting contractors and leading of implementation of controlsystem
To oversee the retention and/or destruction of records, albeit paper based and/or electronic.
Low level project management duties such as liaising with contractors, carrying out inductions for contractors
Assist Project Managers in developing and delivering projects on time and to budget
Assist with day to day project management duties and small scale projects consummate with level of knowledge.
Assist and develop project reports in line with Snr Project Managers instructions.

Education/ Qualifications
- Educated to GCSE level or NVQ level 2
- Works with a high level of keyboard skills as a minimum ECDL or equivalent experience.
- High level knowledge of Microsoft Office applications
- Knowledge of Project Support and administrative procedures
- Evidence of continued professional development
- NEC and CDM 2015 qualifications
- Educated to A level/diploma level 3, Foundation Degree or equivalent experience or competencies
- High level knowledge of Microsoft Office applications (including Microsoft planning software, project, and other software with project documentation)
Experience
- Minimum 1 years previous experience of project support, IT infrastructures and procedures, preferably within the NHS Capital Works Departments.
- Experience of projects and team administration, including version control and maintenance of Risk and Issues Logs
- Experience of developing agendas and maintaining action logs
- Experience of uploading tenders and works orders.
- Proven organisational, administrative and planning skills to support the set-up, management and development of the project logs, prioritising the project tasks and associated work streams, as directed by the Project Team
- Experience of working with clinical staff, senior managers and leaders
- Minimum 2 years' experience in an project support role including at least 1 years' experience in a specialism
- Experience of working in an NHS environment, preferably in more than one type of organisation.
- Experience of co coordinating works packages and work force
- Experience of dealing with general construction trades such as electricians and mechanical engineers.
- Basic engineering understanding
