Job summary

We are looking for a motivated, organised, and personable administratorto join our busy GP surgery. This is a varied and rewarding role that plays a vital part in supporting both our clinical team and our patients.

The successful candidate will be responsible for a range of administrative duties, ensuring that patient information is handled accurately, confidentially, and efficiently while delivering a high standard of customer service.

Main duties of the job

Key Responsibilities

  • Processing and managing medical referrals accurately and efficiently.
  • Handling Subject Access Requests (SARs) in accordance with GDPR and practice policies.
  • Preparing and processing medical reports and other clinical documentation.
  • Communicating with patients by telephone, email, and in person in a professional, compassionate, and courteous manner.
  • Liaising with GPs, clinicians, hospitals, and external healthcare organisations.
  • Maintaining accurate patient records using clinical systems.
  • Supporting the wider administration team with day-to-day practice duties.
  • Ensuring all work is completed within required timescales while maintaining confidentiality.

Person Specification

Knowledge and skills

Essential
  • The ideal candidate will:
  • Have excellent communication and interpersonal skills.
  • Be highly organised with the ability to prioritise a varied workload.
  • Possess strong IT skills and be confident using Microsoft Office and clinical computer systems (experience with GP systems is desirable but not essential).
  • Have excellent attention to detail and a high level of accuracy.
  • Be able to work independently as well as part of a supportive team.
  • Remain calm and professional in a busy environment.
  • Understand the importance of patient confidentiality and data protection.
Desirable
  • Previous administrative experience, ideally within a healthcare or NHS setting.
  • Knowledge of NHS referral processes.
  • Experience handling confidential information and medical documentation.
