Executive Assistant to Senior Vice President

Salary: £50,000

Based in Aldgate

Hybrid Role - Working US Hours 12 pm - 8 pm & UK Hours 9am- 5pm

A global data and AI company are looking for an Executive Assistant to be based in their office in Aldgate, supporting a UK and US-based SVPs. You will provide high-level support, including calendar management, travel coordination, and expense reporting. You will be a trusted contact for stakeholders, handling sensitive information with discretion.

Hours are 12:00-20:00 UK time to support US operations, 09:00-17:00 shifts when stakeholders are in the UK. Prior experience supporting US-based stakeholders is required.

Key Responsibilities:

  • Provide high-level executive support to SVPs, including diary management, travel arrangements, expenses, and correspondence.
  • Oversee complex calendar scheduling, resolving conflicts and anticipating priorities to ensure seamless operations.
  • Prepare presentations, agendas, reports, and meeting minutes with accuracy, discretion, and independent judgment.
  • Act as the primary contact for internal and external stakeholders, delivering exceptional client service and professional interactions.
  • Coordinate client meetings, events, and hospitality, managing logistics such as catering, room bookings, and access requirements.
  • Organise detailed domestic and international travel itineraries, including accommodation, transfers, and visa arrangements.
  • Manage administrative processes such as expense reporting, purchase orders, contact lists, and financial records.

Essential Experience for the Executive Assistant:

  • Extensive executive support background, ideally including C-level executives in a global environment.
  • Experience supporting US-based stakeholders and managing across multiple time zones.
  • Highly organised and proactive, able to manage high volumes of tasks and projects independently while prioritising effectively and making sound judgements under pressure.
  • Demonstrates discretion and professionalism in handling confidential and sensitive information.
