Job summary
Sturdee Hospital is a dedicated service in Leicester, committed to providing holistic, personalised care for women aged 18-65 who have complex mental health needs. With 31 beds across two locked rehabilitation wards and nine semi-independent flats, we offer a supportive and structured environment in which every individual can work towards their recovery goals.
We are excited to announce an excellent opportunity for a candidate who wants to become part of an MDT by supporting the team with meeting schedules, taking the minutes, and ensuring external agencies and family members are invited to attend the treatment review meetings and other tasks.
This role requires working experience with the Microsoft Office 365, Excel, Outlook, Google Chrome, Teams, Zoom, Publisher and others. The successfulcandidate must have good communication and writtenskills. To have good working ethos and be supportive to the team.
General Requirements: To coordinate the governance of the hospital encompassing the Clinical and Health & Safety aspects to ensure compliance with legal, regulatory bodies and contractual requirements that govern the hospital. You will be working closely with the Hospital Director and will be expected to supervise the catering, housekeeping and maintenance staff.
Main duties of the job
PROFESSIONAL REQUIREMENTS:
To send monthly reports to CCGs and care coordinators. To send Ward Round invitation to CCGs and care coordinators.
To support our team with Clinical Governance and Health & Safety meetings invitation and schedules when required. To support the Hospital Director with documentation auditing and organising patients folder as required.
To update with the clinical nurse manager/nursing team, primary nurses for new patient admissions and to update contact details of care coordinators.
Participate in the audit programme and complete assigned audits.
Send out monthly clinical updates to care co-ordinators and CCG contacts for each patient.
To audit the paperwork completed by catering, housekeeping and maintenance staff in order to ensure compliance with Health and Safety regulations.
To co-ordinate & schedule inspectors visits and add their recommendations into Clinical Governance and Health & Safety agendas so that staff are informed and that all action plans are in one document for monitoring.
Liaise with the Manager and Deputy on a daily basis to ensure the smooth running of the Unit in all aspects.
To establish and promote good relationships with colleagues and with residents, relatives, care co-ordinators, commissioners etc.

This post is key in supporting the team and external agencies with vary queries, such as ensuring patient report is up to date and available according to data protection and patient confidentiality.

Job responsibilities
To liaise with the Deputy Hospital Director regularly to ensure the smooth running of the Unit in all aspects
To maintain the confidentiality policy of the Unit, with particular reference to personal records of both staff and residents
Assist the Hospital Director, Deputy Hospital Director and Lead Nurse Managers in ensuring that patients documentation is up to date and all mandatory policies
To assist the consultant n maintaining clinical records
To ensure that minutes are taken during CPAs, Ward Rounds, Staff Meeting, Clinical Governance, Health and Safety meetings, and any other relevant meeting review
To send monthly reports to CCGs and care coordinators (ward round reports)
To send Ward Round invitation to CCGs and care coordinators
To support our team with Clinical Governance and Health & Safety meetings invitation and schedules when required
To support the Hospital Director with documentation auditing and organising patients folder as required
To ensure all residents have access to their care plan
Liaise with various staff to organise and arrange meetings that are relevant to patient care
To update with the clinical nurse manager/nursing team, primary nurses for new patient admissions and to update contact details of care coordinators
To update the calendar/schedule of ward rounds
Keeping the MDT informed of coming meetings
To ensure that patients reports regarding ward rounds and CPAs are saved under the One Drive and to print reports to the physical folder accordingly
To develop spreadsheet to help us recording patients treatment plan and review dates / audits
To have good working ethos and be supportive to the team
To support with hospital information by updating memos regarding policies and procedures
Ensure all evidence for meeting regulations is kept in folders both in electronic and physical format
Send reminders to responsible staff for actions and audits due before the deadline
Monitor and record whether action plans from inspections and audits are carried out by the relevant people
Inform and liaise with hospital director where there are issues with completion of actions
Participate in the audit programme and complete assigned audits.
In conjunction with the Director of Contract Performance, to complete the quarterly performance reports required by CCG for review meetings
Send out monthly clinical updates to care co-ordinators and CCG contacts for each patient according to the templates provided or in the form of the MDT report where no template is provided.
To audit the paperwork completed by catering, housekeeping and maintenance staff in order to ensure compliance with Health and Safety regulations
To supervise and audit the work done by cleaning staff and complete the Weekly Cleaning Audit
To authorise annual leave for catering, housekeeping and maintenance staff and in liaison with the hospital director, ensure there is adequate cover.
To co-ordinate & schedule inspectors visits and transcribe their recommendations into Clinical governance and Health & Safety agendas so that staff are informed and that all action plans are in one document for monitoring
To maintain the confidentiality policy of the Unit, with particular reference to personal records of both staff and residents.
To keep up to date with the policies and procedures of Southleigh Community Hospital.
To attend any training courses, which will ensure effectiveness in the post.
Undertake reasonable management requests.
Liaise with the Manager and Deputy on a daily basis to ensure the smooth running of the Unit in all aspects.
To maintain the confidentiality policy of the Unit, with reference to personnel records of staff and residents records.
To attend any training courses that will ensure the effectiveness of the post.
Undertake such duties as may be agreed with the Manager &/or Deputy.

Qualifications
- GCSE grade A or B in English.
- Excellent IT skills.
