About the Role

We are seeking a highly organised and proactive Service Coordinator to support the effective delivery and continuous improvement of a Virtual Learning Environment (VLE) within a large, complex organisation. This role will provide high-quality administrative, operational, and communications support, working closely with project teams, stakeholders, and governance groups to ensure smooth coordination and delivery of key activities.

Key Responsibilities

  • Develop and maintain project documentation, including RAID logs, action logs, decision logs, and project plans
  • Track progress against actions and follow up with stakeholders to ensure timely updates
  • Collate and consolidate project status reports in collaboration with colleagues
  • Support delivery of project outputs, including planning, process reviews, reporting, and presentations
  • Assist with the organisation and facilitation of workshops, capturing outputs and actions
  • Create and manage internal communications content, ensuring accuracy and quality across channels
  • Coordinate implementation of communications across cross-functional groups, including approvals and sign-off processes
  • Support development and maintenance of internal web content and portals
  • Establish and maintain document management processes
  • Provide secretariat support for governance forums, including meeting coordination, preparation of papers, and minute-taking
  • Deliver general administrative support such as procurement processes, requisitions, and scheduling meetings
  • Ensure compliance with organisational policies including data protection, confidentiality, equality and diversity, and health & safety

Essential Skills & Experience

  • Experience supporting projects, including use of documentation such as RAID logs and status reporting
  • Strong organisational skills with the ability to manage multiple workstreams and priorities
  • Excellent written and verbal communication skills, with experience engaging a wide range of stakeholders
  • Ability to analyse and compile information from multiple sources into clear outputs
  • Experience providing secretariat support to governance or senior-level meetings
  • Proficiency in Microsoft Office tools, including Word, Excel, PowerPoint, and collaboration platforms
  • Ability to build effective working relationships and work independently

Desirable Skills & Experience

  • Experience working with Virtual Learning Environments (e.g. Canvas)
  • Background in learning technology or digital education
  • Experience within higher education or similarly complex environments
  • Familiarity with tools such as SharePoint, Teams, Visio, or Microsoft Project
  • Experience managing website or intranet content
  • Interest in continuous improvement and new ways of working
