Location: UK (London-based, able to commute to London meetings at least 2 days/week)

This is a fast-paced startup role with ambitious growth targets and meaningful equity upside, but it demands comfort with ambiguity and rapid change. Not a stable corporate role with established systems and a clear 9-to-5 structure. Supporting a visionary CEO as Kabuni scales from early-stage to significant global presence — the role will evolve as fast as the business does.

Mission of Role

The Executive Assistant to the CEO at Kabuni is a pivotal role providing high-touch, strategic administrative support to the CEO as the business scales from early stage to significant growth. You will be the CEO's right hand — managing a complex diary across multiple time zones, coordinating with investors, partners, and high-profile sports personalities, and ensuring the CEO's time is focused on the highest-impact activities.

As the business grows rapidly, this role will evolve. You'll be expected to leverage AI-powered tools to drive efficiency, streamline workflows, and automate routine tasks — enabling you to focus on higher-value strategic support rather than just administrative upkeep.

Functional Competencies

  1. Executive Diary Management: Expert-level calendar management across multiple time zones (UK, India, US), prioritising competing demands and protecting the CEO's focus time.
  2. Travel & Logistics Coordination: Complex international travel arrangements including visa coordination, multi-leg itineraries, and accommodation for high-profile engagements.
  3. Stakeholder Liaison: Professional, polished communication with investors, board members, sports personalities, and partners on behalf of the CEO.
  4. AI & Tech Savviness: Proactive use of AI-enhanced tools (calendaring, automation, note-taking, workflow tools) to drive efficiency and reduce administrative overhead.
  5. Meeting Preparation & Follow-Up: Preparing briefing packs, agendas, and materials; taking minutes and tracking action items to completion.
  6. Confidentiality & Discretion: Handling sensitive strategic, financial, and personnel information with the highest level of trust.
  7. Event Support: Assisting with coordination of key company events, investor meetings, and high-profile appearances.
  8. Startup Adaptability: Thrives in fast-paced, ambiguous environments typical of scaling startups — comfortable with the role expanding as the business grows.

Ideal Candidate Profile

Experience Requirements

  • 5+ years as a PA, EA, or similar senior administrative role
  • Prior experience supporting C-suite executives (preferably CEO) in high-growth environments
  • Board-level EA experience preferred (startup context means less formal board structure, but investor/stakeholder management is critical)
  • Demonstrated experience using technology and AI tools to improve administrative efficiency
  • Experience managing complex international travel and multi-time-zone diaries
  • Experience in or exposure to tech/startup environments is a strong plus
