Secretary

We are currently recruiting for an experienced Secretary to join a small, professional and friendly office environment.

This is a varied role offering a mixture of reception, secretarial and general administrative responsibilities, supporting senior members of the team and helping to ensure the smooth day-to-day running of the office.

The successful candidate will be organised, professional and approachable, with excellent attention to detail and the ability to manage a busy workload while maintaining a high standard of service.

The Role

Your responsibilities will include:

  • Acting as a professional first point of contact for visitors, clients and telephone enquiries.
  • Providing a friendly and welcoming reception service.
  • Managing incoming and outgoing correspondence, post and deliveries.
  • Providing comprehensive secretarial and administrative support to senior team members.
  • Preparing letters, documents and general correspondence to a high standard.
  • Managing diaries and arranging meetings using Outlook.
  • Preparing meeting rooms and taking notes or minutes where required.
  • Maintaining accurate electronic and paper-based filing systems.
  • Scanning, organising and maintaining documentation and records.
  • Updating databases, spreadsheets and internal systems.
  • Assisting with the organisation and administration of client information and documentation.
  • Supporting the wider team with day-to-day administrative requirements.
  • Working collaboratively with other administrative staff to ensure the smooth running of the office.
  • Assisting with general office organisation, equipment and upkeep.
  • Providing cover and support across the administration function as required.

About You

We are looking for someone with previous secretarial or administrative experience who is confident working in a professional environment and enjoys a role with plenty of variety.

You will ideally have:

  • At least 3 years' experience in a secretarial or administrative position; more experienced candidates are welcomed.
  • Excellent written and verbal communication skills.
  • A professional, friendly and confident telephone manner.
  • Strong organisational skills and excellent attention to detail.
  • The ability to manage competing priorities and work effectively to deadlines.
  • A high level of accuracy and good typing skills.
  • Excellent IT skills, particularly Microsoft Word, Excel and Outlook, together with confidence using databases and other office systems.
  • Good numeracy skills and confidence working with spreadsheets.
  • The ability to work independently and use your own initiative.
  • A calm and professional approach when working under pressure.
  • A flexible attitude and willingness to support colleagues across the wider team.
  • A strong work ethic and a reliable, trustworthy approach.
  • An understanding of confidentiality and the importance of handling sensitive information appropriately.
  • A professional appearance and manner.

Experience within a professional services environment would be advantageous, although candidates with strong transferable secretarial or administrative experience will also be considered.

Hours: Monday to Friday, 9.00am–5.30pm
