Administration Manager

Juice Recruitment is delighted to be supporting our client, based in Shepton Mallet, with the recruitment of a Support Administration Manager.

This is a fantastic opportunity for an experienced administrator and people manager to join a well-established organisation, taking responsibility for a small support team while ensuring their Support & Service processes run smoothly and efficiently.

DAY TO DAY

  • Manage and support a small support team, providing direction, guidance and day-to-day leadership
  • Prepare and issue customer quotations, apply pricing and discount rules, and chase outstanding quotes
  • Raise and track purchase orders, invoices and shipments
  • Administer maintenance, warranty and multi-year service contracts, including renewals and deferred income
  • Manage equipment loans and demonstration samples, tracking movement between locations and chasing returns
  • Log and track product non-conformities, liaising with customers and suppliers to ensure a successful outcome
  • Keep customer, contract and loan records accurate across ERP systems, databases and spreadsheets
  • Produce regular reports, including expiring warranties and contracts, items still on loan, service visits and warehouse transfers
  • Carry out stock checks across maintenance, sample and loan stock
  • Maintain price lists and quotation templates, including exchange rate updates
  • Act as the liaison between internal IT users and the external IT contractor

WHAT WE'D LOVE TO SEE

  • Experience managing a small team is essential
  • Previous experience in a sales support, contracts, customer service or office administration role at a senior level
  • Excellent organisational skills, with the ability to manage multiple priorities, deadlines and tasks
  • Exceptional attention to detail and a strong focus on accuracy
  • Excellent written and verbal communication skills, with the confidence to liaise with customers, suppliers and colleagues
  • Strong Excel skills are essential, including experience using VLOOKUPs, formulas and spreadsheets
  • Confident working with databases and ERP/CRM systems, with the ability to learn new systems quickly
  • A proactive and professional approach, with the confidence to chase people politely and persistently
  • Experience within a regulated or technical sector, such as healthcare, medical devices or engineering
  • Knowledge of MS Business Central or Sage would be advantageous
