Job responsibilities
Job Purpose: To provide high-quality, flexible administrative support across the Learning team, ensuring the smooth coordination and delivery of meeting spaces and a wide range of learning and engagement activities including training, events, research and Compassionate Communities initiatives.
The postholder will act as a central point of administrative support, supporting efficient team operations and responding to changing priorities.
Specific Duties:
- Provide day-to-day administrative support across the Learning Team. This will include but is not limited to, full administration of learning events, training, room bookings, student placements and ad hoc support requests from the team.
- Act as a first point of contact for internal and external enquiries.
- Manage multiple shared inboxes, including monitoring, triaging incoming queries, and forwarding them to appropriate team members as required.
- Coordinate scheduling and meeting coordination, maintaining accurate records, databases and spreadsheets, and assisting with data reporting as required.
- Provide routine administrative support for the Learning Management System (Kallidus), ensuring learner records, course information and training data are accurate and up to date.
- Support team meetings, including preparing agendas, taking minutes, and tracking actions.
- Assist with processing purchase orders and raising invoices.
- Provide administration support for the research activities across the hospice.
- Support the delivery of internal and external learning activities, including conferences, training sessions, workshops and events.
- Assist with event preparation and set-up, including room preparation, refreshments and on-the-day support.
- Coordinate bookings, registrations and attendee communications via the Learning Management System and Microsoft Teams.
- Coordinate event logistics such as venues, materials and catering as required.
- Provide on-the-day support for events where required, acting as a point of contact for visitors on arrival.
- Support promotion of learning activities through email, newsletters and internal systems and maintain up-to-date content on relevant platforms.
- Adapt to changing priorities, problem solving where necessary and contribute to a collaborative team environment.
Person Specification
Qualifications
- Excellent level of education including English and Maths GCSE
- IT qualification or equivalent
Experience
- Demonstrable experience of working in an administrative role
- Experience of working with volunteers
- Experience in a customer service role
- Knowledge of Keech Hospice and a hospice environment
Additional Criteria
- Demonstrable IT Skills
- Demonstrable organisational skills
