Main duties of the job
Key Responsibilities
- Extract, reconcile, validate, and cleanse data from primary care clinical systems.
- Ensure operational data is accurate, reliable, auditable, and fit for purpose.
- Develop and maintain datasets to support reporting, analysis, compliance requirements, and service improvement initiatives.
- Identify and support the analysis of specific patient cohorts relating to population health management and health inequalities.
- Produce regular and ad hoc reports, dashboards, and visual data presentations for the Executive Team and wider stakeholders.
- Work collaboratively with GP practices across the North Kerrier Neighbourhood to support data-driven decision making.
- Support governance processes through the maintenance of accurate data records and audit trails.
- Contribute to the development of data management processes, reporting tools, and information systems.
- Interpret and present complex information in a clear, meaningful, and actionable way.
- Ensure compliance with data protection, confidentiality, and information governance requirements.

About the Role
As a Data Assistant, you will be responsible for North Kerrier Neighbourhood's data requirements. You will extract, reconcile, validate, cleanse, and maintain data from local clinical systems, ensuring information is accurate, auditable, and accessible.
You will play a key role in supporting population health management initiatives and addressing health inequalities by enabling clinicians and managers to better understand local needs through high-quality data analysis and reporting.
This role requires someone who can communicate complex information clearly, presenting data in a visual and easily understandable format to support strategic and operational decision-making.
As this is a new position, duties and responsibilities are expected to evolve over time and will be reviewed to meet the changing needs of the neighbourhood landscape.

Job summary
- The Data Assistant will be responsible for managing all aspects of our Primary Care Neighbourhood data requirements utilising well-developed system analytical skills for extracting, reconciling and cleansing data from local clinical systems.
- Ensure operational data is accurate, validated, auditable, and accessible for business use.
- Provide clean, reliable datasets and structured reports that enable colleagues to analyse trends, meet compliance requirements, and make evidence-based decisions. Underpin transparency, accountability, and robust governance across the practice teams.
- The role will work across North Kerrier Neighbourhood to support practices and the wider team to identify different patient cohorts, in relation to Population health and health inequalities, so that teams can analyse and interpret data, and determine how primary care services can support the wider Neighbourhood initiatives for population health management.
- The role will be responsible for presenting a variety of data and information in a visual and understandable format to enable effective decision making by the Executive Team.
- This is a new role and therefore duties and responsibilities will evolve and will be the subject of review.
- There is an expectation that this role will be able to attend work bases in addition to working remotely.

Digital, Data and Information Management
- Become an expert in data searches, extraction, performance and information management for the practices clinical systems e.g. EMIS, SystmOne, BRAVE AI, ARDENS templates/reports, KLINIK and any future systems.
- Undertake deep dives to identify patient cohorts for population health and/or health inequality projects to ensure they are correctly coded on ARDENS templates or other clinical systems and reports;
- Provide data management and information support to PCN Clinical Teams to understand any data requirements for their services e.g. physiotherapy, clinical pharmacy.
- Create and run custom reports and templates at any North Kerrier practices request where this relates to PCN/Practice delivery and performance.
- Develop, distribute and analyse patient surveys using a variety of tools and methods, to support the development of services.
- Develop training guides, processes and procedures to support any new ways of working across the North Kerrier Neighbourhood.
- Provide practice data performance for monthly reporting requirements.
Project Management
- Report to the North Kerrier Neighbourhood Data Group to support with local data projects, eg dementia, COPD.
- Contribute to any improvements and enhance digital performance across North Kerrier with the use of clinical systems and other IT systems.
- Support compliance with clinical coding both locally and nationally working with practices to input and link data sets, eg NHSe Respiratory Project.
- Support practices and neighbourhood teams with evidencing how the neighbourhood is contributing to the Health and Wellbeing Outcomes Framework.
Data Sharing Agreements and Governance
- Have knowledge and understanding of the requirement of the Information Commissioners Office and the Primary Care Networks responsibilities to meet the requirements of the Data Protection, Freedom of Information, Confidentiality, Information security and sharing, the information lifecycle and data quality to ensure compliance and efficient and effective information governance.
- Complete any data impact assessments and data sharing agreements.
- Create and be responsible for a library of data impact assessments and data sharing agreements.
Communication and Relationships
- Build working relationships with teams in North Kerrier Primary Care Practices to provide support to the practices where required.
- Work closely with practice governance and data teams and wider healthcare partners to ensure the Neighbourhood is adhering to policy and practice.
- Communicate effectively and regularly with practices and the Data team, with confidence and expertise.
- Attend meetings face to face and virtually, as and when required.
- Communicate effectively with all colleagues and network practice staff.
- Communicate effectively with patients and carers.
- Recognise peoples needs for alternative methods of communication and respond accordingly.

- Provide feedback to the NK Leadership team and practice teams where issues/anomalies on data coding and management are highlighted providing solutions to problems.
Training
Provide training to workforce on the use of clinical and IT systems where appropriate and work with practice IT training teams on developing guides, processes and procedures.
Care Quality Commission
Work with the general practice teams to ensure the practice is compliant with CQC standards.

Person Specification
Experience
- Experience of working in an IT healthcare working environment using clinical systems.
- Significant experience of using reporting applications for example SQL, PowerBI, dashboards.
- Proficient in the use of Microsoft Office 365 and associated Applications for example, Forms, Visio, excel, PowerPoint.
- Proficient in the use of clinical systems, workforce management systems and using information technology, to extract data and use reporting tools.
- Significant knowledge and expertise to lead on specific projects related to IT systems, data and information reporting solutions and business systems.
- Careful attention to detail and accuracy with a high standard of literacy and numeracy.
- Significant experience and ability to analyse data and present information to PCN Business Manager, PCN Executive Team and external organisations and stakeholders.
- Experience of working in a primary care network or GP practice.
- Knowledge of the Primary Care DES Contracts.
- Knowledge of the NHS Long Term Plan.
Qualifications
- Relevant IT qualifications or equivalent experience (such as CompTIA, Microsoft, ITIL), and understanding of remote access tools and IT systems.
