Job summary
The Business Operations Officer provides reception and operational support for the Imaging Clinical Research Facility at St Thomas' Hospital.
The post holder is a member of the Schools professional services team, providing high quality operational support to the facility and department.
The post holder provides a service to the wider community of staff, patients and external stakeholders, being responsive to queries and requests for assistance, providing advice and training where required on processes, policies and regulations to ensure strong levels of compliance. They are responsible for the delivery of a range of tasks, making decisions in line with guidance that have an impact of up to a year. The post holder will discuss more complex issues with their manager, identifying solutions, their impact and any potential risks.
Main duties of the job

- have a keen eye for detail with a systematic approach to work, delivering work in line with established processes;
- have a good level of proficiency in the use of the Microsoft Office 365 suite of applications and have used web content software;
- have excellent spoken and written English and be able to complete basic analysis to inform work prioritisation.
This is a full time post (35 hours per week), and you will be offered an a fixed term contract until 31st March 2027.
You will be required on site Monday-Friday.

The role sits within the School of Biomedical Engineering & Imaging Sciences, and specifically within the MRI Clinical Research Department based at St Thomas Hospital.
The School of Biomedical Engineering & Imaging Sciences are committed to improve the way we deliver healthcare through the use of advanced engineering.
The department has 9 MRI scanners and a catheterisation lab, providing clinical and research MRI services in the areas of cardiac, foetal, neonatal and advanced brain imaging. The facility is embedded within St Thomas Hospital. Last year we conducted over 10,000 clinical scans, of which ~5000 were recruited to research

Job responsibilities
The Business Operations Officer provides reception and operational support for the Imaging Clinical Research Facility at St Thomas' Hospital.
The post holder is responsible for meeting and greeting patients at reception, treating patients with respect and presenting the facility to a wide range of individuals patients and their carers, study subjects, clinicians, and represents from industrial partners. Being the first point of contact for these groups, the post holder has a critical part in forming the facility's first impressions and profile.
The post holder needs to be accurate and highly organised as they are responsible for making appointments for patients and research subjects and registering patients / volunteers on the relevant databases and systems. In addition, the post holder undertakes a range of operational tasks to support the smooth running of the Joint Imaging Centre and Advanced Imaging Centre, which is a multidisciplinary clinical and research environment, along with supporting the wider operations of the department.
The post holder is required to be responsive and confident in a clinical and research setting. It is a varied job with significant levels of patient contact. The post holder will develop a level of expertise in the policies and procedures relevant to the facility and department. They are expected to be able to work autonomously, using protocols that are well established and meeting an agreed quality standard. They are expected to be able to use their skills, knowledge and initiative to deal with less routine queries, issues or circumstances, seeking input from their line manager for more complex matters.
Person Specification
Experience
- Substantial previous relevant operations experience particularly in a clinical or research setting in a university or the NHS
- Experience of working in a highly regulated area of work, where a care for detail is required in order to ensure compliance with regulations and policies.
- Excellent knowledge and experience of using NHS administrative procedures and IT systems (e.g., EPIC) to deal with patient data
- Proven good communication and interpersonal skills in order to receive, understand and relay information of varying complexity to various groups.
- Exceptional task management skills and ability to work under pressure in a busy environment with a record of delivering on time and in budget.
- Understanding of patient confidentiality
- Proficient IT skills (including Office365 suite - Excel, Word, PowerPoint) and experience of utilizing digital technology in day-to-day work.
- Effective at working independently, and as part of a team, able to take own initiative and decisions with a proactive approach to problem solving.
- A Level or equivalent in Maths, Science and English
- Knowledge of medical terminology
- Knowledge of databases
- Ability to understand and analyse data to inform decisions.
- Experience in customer service and training
