Operations Manager

Launch Lab is on the lookout for a sharp, detail-obsessed Operations Manager to own our operational delivery and excellence. You’ll own processes that support talent sourcing, client proposals, supplier coordination, and day-to-day operations, while spotting ways to improve how we do everything. Launch Lab is looking for an organised, proactive, and systems-minded Operations Manager to run and continually improve our day-to-day delivery operations. Reporting directly to the MD, you’ll take full ownership of the processes and coordination that keep our supplier network, client communications, and delivery workflows running smoothly.
This is a high-trust, high-responsibility role. You’ll own the design and execution of our operational workflows - coordinating suppliers, supporting client delivery, and improving the systems that keep our consultancy running smoothly
You’ll also contribute to lightweight marketing and sales coordination, helping us maintain visibility and momentum without needing a dedicated specialist. You won’t be writing campaigns or doing outbound, but you’ll help publish, track, and maintain the core sales and comms assets that support our growth.
This is a hands-on role for someone who enjoys systems, clarity, and making things easier for everyone.
Operations and Admin
- Own the design and delivery of internal operational workflows, ensuring consistency across onboarding, delivery, documentation, and reporting
- Continuously improve how tools like Trello, Notion, HubSpot and Google Drive are used across the business
- Maintain visibility over key delivery milestones, supplier inputs, proposal timelines, and potential risks
- Keep operational templates, checklists, and knowledge repositories up to date and easy to use
- Establish and run internal cadences (e.g. weekly status updates, project delivery tracking, lead pipeline reviews)
- Define and maintain light-weight ops KPIs (e.g. lead-to-client conversion time, supplier utilisation, proposal turnaround)
- Act as the primary operational point of contact for independent contractors, fractional leaders, partner agencies, and recruiters
- Maintain a live view of availability, capacity, and suitability across the supplier base, proactively identifying gaps or options
- Ensure documentation and compliance (e.g. NDAs, SoWs, invoices, contracts) are complete, accurate, and accessible
- Proactively follow up with suppliers to maintain engagement, collect feedback, and flag any delivery risks
- Take operational ownership of client onboarding and ongoing delivery tracking, collaborating closely with the MD
- Coordinate key account activities, including setting up kick-off calls, tracking interview rounds, and logging client preferences or quirks
- Maintain live records of engagement status, talent deployment, interview feedback, and outstanding actions
- Ensure client-facing documentation (e.g. CVs, bios, SoWs) is consistent, well-presented, and up to date
- Manage the content publishing calendar for LinkedIn posts, blog uploads, case studies, and testimonials
- Run the weekly marketing content rhythm — ensuring consistent output and post-campaign reflection
- Repurpose insights, event content, or delivery highlights into short-form marketing assets
- Upload content to website CMS and ensure consistency across channels
- Track content performance metrics and suggest basic improvements to increase reach or engagement
- Maintain visibility of all active leads, tagging and updating records in Trello/HubSpot to support live business development efforts
- Contribute to shaping our sales ops tooling and tracking as we grow (e.g. HubSpot workflows, tagging hygiene, reporting)
- Research new leads via platforms like LinkedIn and Crunchbase and help identify ICP-aligned opportunities
- Own the version control and packaging of proposals, pitch decks, SoWs, and CV packs — ensuring rapid turnaround
- Track proposal outcomes and help improve future submissions based on feedback
- Identify bottlenecks, duplication, or unnecessary complexity in operational workflows — and take action to resolve
- Introduce light-weight tracking or dashboards for key operational metrics (e.g. talent utilisation, proposal response times)
- Evaluate tooling and automation opportunities to improve productivity or reduce manual work
- Maintain a continuous improvement mindset — suggest ways to simplify, speed up, or scale our internal systems
- 4+ years of experience in operations, project coordination, or delivery support — ideally in a startup, consulting, or agency environment
- Proven ability to own and improve operational processes across internal tooling, client delivery, and supplier coordination
- Organised and systems-driven, with the ability to simplify complexity and bring calm to fast-moving environments
- Excellent written and verbal communicator — you can write clearly, track details, and chase outcomes without being asked twice
- Comfortable working autonomously and making operational decisions that free up leadership bandwidth
- Able to juggle multiple priorities without dropping the ball — especially in fluid, fast-paced teams
- Familiar with (or quick to learn) tools like Trello, HubSpot, Notion, Google Workspace, CMS platforms, and basic workflow automations
- Confident enough to ask questions, challenge inefficiencies, and proactively suggest better ways of working
- Dependable, and energised by structure, improvement, and making things work better for everyone
- Discretion and judgment in representing Launch Lab externally (e.g. with partners or clients)
- Comfort working without supervision, especially with fluid handovers from the MD
- Ability to influence how things are done, not just follow instruction
