The Role

As our Studio Co-ordinator, you will be the "pulse" of the studio. You'll sit at the heart of our workflow, providing the management team with a clear bird's-eye view of everything in play. You are the person who ensures milestones are met, schedules are balanced, and nothing slips through the cracks.

Beyond the internal logistics, you will serve as a vital first port of contact for our existing clients. While Project Leads handle the day-to-day delivery, you will be the "sounding board" for broader client needs, ensuring our partners always have a direct line into the studio for new ideas or high-level issues.

Key Responsibilities

1. Studio & Resource Orchestration

  • Scheduling: Own the studio calendar and resource planning, ensuring every designer and developer knows what they are working on and when.
  • Project Overview: Maintain a live dashboard of all ongoing projects, including key milestones, deadlines, and delivery status.
  • Financial Tracking: Monitor project timelines to trigger and track invoice dates, ensuring the management team has an accurate view of studio billing.

2. Client Relationship Support

  • The "First Call": Act as the primary point of contact for existing clients when they have questions, concerns, or new ideas that sit outside the scope of an active project.
  • Soundboarding: Listen to client needs and route them effectively—whether that means escalating to management or briefing the delivery team on a potential new phase of work.
  • Onboarding: Assist in the smooth onboarding of new clients, ensuring they have the right access, documentation, and a warm welcome to the studio.

3. Team & Delivery Support

  • Internal Syncs: Work closely with the delivery team to identify bottlenecks before they happen and help re-prioritize tasks when things move fast.
  • Process Improvement: Identify ways to make our studio operations smoother, from better use of project management tools to refining how we communicate internally.
About You
  • The Master Organiser: You love a spreadsheet, a Gantt chart, or a clean Trello board. You find peace in order and clarity.
  • A Natural Communicator: You can talk to a developer about a technical* delay and then jump on a call with a client to manage expectations with empathy and professionalism.
  • Proactive Problem Solver: You don't wait for a deadline to be missed; you see the risk three days out and adjust the schedule accordingly.
  • Agency Experience: Ideally, you've worked in a digital agency or creative studio before and understand the rhythm of design and development cycles.

*You don not have to know tech terminology or code when applying for this role - it's important to know that the responsibility of the technical "how" of any project will lie with the delivery team.
