Workforce Systems Assistant (XN03)

Job summary

The Workforce Systems Team covers large areas of rostering for Nursing, Admin and Medical staff groups and maintains both the Healthroster (eRoster) and Electronic Staff Record (ESR) systems. You will be assisting the Team Leader of a Workforce team to support Managers and system users across the Trust in all aspects of both systems.

The successful applicant will provide support in the use of the Trusts workforce systems whilst ensuring adherence to Trust policies and procedures. The successful applicant will be a first point of contact for the areas they support.

The post holder will be focused on providing a service to support the maintenance of eRostering and Electronic Staff Records (ESR) systems by being responsible for the accurate entry of employee data and validating input where necessary. The post-holder will also be responsible for the production of reports and the maintenance and updating of eRostering and ESR.

You will also provide comprehensive information, advice and support regarding eRostering and ESR enquiries to Service Mangers/Matrons and individual users

Main duties of the job

o Ensure employee information following recruitment for specific staff groups i.e. in clinical and non-clinical areas is entered onto

eRostering and ESR accurately and that all appropriate information is effectively recorded.

o Using advanced excel skills, produce routine and ad hoc reports

o Responsible for updating employee details and amending the system as appropriate.

o Responsible for scrutinising eRostering and ESR in depth in order to highlight irregularities to Managers of all levels

o Ensuring data in eRostering and ESR is reflected in both systems correctly and rectify or raise any queries with regards to anomalies;

therefore the postholder will be required to know the workings of both systems.

o Responsible for liaising with Service Managers/Matrons to resolve issues relating to employee data collection and input of information.

o Offer comments on changes to service developments/procedures that will impact eRostering and ESR

o To be actively involved in the training of other staff in the use and operation of eRostering and ESR

  • Have previous data input and clerical experience including analysis of data and report generation.
  • Be able to demonstrate Advanced Excel skills
  • Able to troubleshoot system issues and provide guidance/advice
Desirable
  • Knowledge of eRostering
  • Knowledge of ESR
