The Assistant Practice Manager supports the day to day operational management of the Practice with responsibility for IT systems and administration and reception services. Working closely with the Practice Manager - the post-holder will deputise as required to ensure the Practice runs efficiently and safely.

The role involves ensuring compliance with all regulatory, governance and statutory requirements and provides day to day supervision of administrative and reception staff to contribute to the delivery of high quality patient services.

Main duties of the job

  • Oversee day-to-day administrative operations, responding to staff and patient queries.
  • Lead on the EMIS clinical system, including maintenance, troubleshooting, and optimisation.
  • Manage appointment systems to ensure agreed processes are followed and monitored.
  • Line-manage the reception team, including training, support, and appraisals.
  • Manage and respond to complaints in line with NHS guidance, completing required reporting.
  • Ensure compliance with statutory, contractual, and regulatory requirements.
  • Support compliance with CQC standards and contribute to inspections and action plans.
  • Ensure practice policies are current, implemented, and adhered to.
  • Maintain confidentiality and comply with data protection and information governance requirements, reporting data breaches appropriately.
  • Promote health and safety, equality, diversity, and inclusion in line with legislation.
  • Deputise for the Practice Manager as required and support service development.
  • Undertake additional duties appropriate to the role.

    Our practice has grown from a single handed surgery started by Dr Charles Brookhouse in 1904 to a large practice with 13,500 patients.. We serve north Bromley (mostly of postcode BR1) including Plaistow & Sundridge, Bromley Town Centre, Bickley, Shortlands and north Hayes.

    We currently have a great multi-disciplinary team comprising 3 GP Partners, 4 salaried GPs, 1 ANP, 2 Practice Nurses, 3 HCAs and from our PCN ARRS staff, we are fortunate to have a dedicated Clinical Pharmacist, Social Prescriber, Care Co-ordinator and GP Assistant. We also have weekly access to 2 physiotherapists, a Mental Health Practitioners and a Pharmacist Technician.

    The clinicians are ably supported by a multi skilled administrative team.

    The building where we are situated is a purpose built freehold property.

    We are part of a cohesive PCN with an embedded ARRS team and we are a total triage practice running within a PCN hub model for all online consultations.

    Key Responsibilities

    Administration

    • Oversee administrative operations and make decisions relating to staff and patient queries
    • Produce weekly rota and room allocation plans for clinical staff
    • Prepare, record, and distribute minutes for Practice meetings
    • Prepare agendas and chair staff meetings in the absence of the Practice Manager
    • Attend Practice team meetings and external meetings as required
    • Ensure effective and efficient day-to-day administrative systems are in place

    Information Management & Communication

    • Maintain responsibility for the EMIS clinical system, including troubleshooting and optimisation
    • Provide support and training on all IT platforms used in the practice
    • Ensure secure maintenance of patient records in line with data protection legislation
    • Manage appointment systems and ensure compliance of agreed systems

    Staff Management

    • Manage the reception team
    • Support recruitment, training, and appraisals
    • Manage rota and annual leave ensuring adequate cover is in place
    • Promote staff engagement and wellbeing
    • Support HR policies

    Patient Services

    • Oversee non-clinical patient services
    • Monitor patient satisfaction
    • Manage complaints handling and appropriate annual reporting

    • Ensure compliance with statutory and regulatory requirements

    • Support audits and quality improvement

    Experience
