eRostering Medical Project Support

Job summary

The post holder will provide project support for the implementation and optimisation of e-Rostering for Medical and Dental staff across the Trust.

The role focuses on system configuration, data quality assurance, and delivery of key project activities to support the successful rollout of HealthRoster for Medics. Working closely with the Project Lead, the post holder will contribute to ensuring that project milestones are achieved within agreed timelines and governance frameworks.

The post holder will support the development of accurate, compliant, and efficient medical rotas, aligned to contractual requirements, workforce planning principles, and service needs. The role will also support stakeholder engagement, training delivery, and adoption of standardised rostering processes.

This is a time-limited role forming part of a wider workforce transformation programme to improve rota management, reduce temporary staffing reliance, and enhance data accuracy and workforce efficiency.

  • Support delivery of the medical e-rostering implementation and optimisation programme
  • Configure medical and dental rotas within the e-rostering system, ensuring compliance with contractual and regulatory requirements
  • Undertake data validation, cleansing, and reconciliation to ensure accuracy between systems (e.g. ESR and e-Rostering)
  • Support system testing, validation, and sign-off processes
  • Deliver training sessions and provide user support to rota coordinators and service teams
  • Assist in translating service requirements into effective system configuration and rota design
  • Maintain project documentation including trackers, risks, issues, and configuration records
  • Support stakeholder engagement activities, including workshops and system demonstrations
  • Contribute to development of SOPs, guidance materials, and intranet content
  • Escalate risks, issues, or delays to the Senior Specialist / Project Lead

Detailed Job Description and Main Responsibilities Project Delivery & Support

  • Deliver allocated project tasks in line with agreed timelines, scope, and governance
  • Support maintenance of project plans, risk logs, and issue trackers
  • Contribute to project reporting and highlight risks or delays
  • Support delivery of programme milestones across all medical specialties
System Configuration & Optimisation
  • Configure e-rostering system to support:
    • Rota templates and structures
    • Shift patterns and on-call arrangements
    • Compliance rules (e.g. Working Time Regulations)
  • Support build and configuration of new services and rota models
  • Apply system changes based on agreed design and service requirements
  • Participate in system testing, validation, and user acceptance processes
Data Quality & Assurance
  • Ensure high standards of data accuracy within the rostering system
  • Support data cleansing, validation, and reconciliation activities
  • Ensure alignment between e-Rostering and ESR data (e.g. workforce changes)
  • Identify and resolve discrepancies impacting payroll, reporting, or rota accuracy
  • Support audit processes and compliance checks
Workforce & Rota Alignment
  • Support translation of workforce requirements into system configuration
  • Assist services in reviewing and improving rota structures
  • Ensure rota design reflects agreed workforce models and service demand
  • Contribute to improving rota efficiency and standardisation
Training & User Support
  • Deliver training sessions to rota coordinators and service teams
  • Provide user support during implementation and go-live
  • Develop and maintain training materials and user guides
  • Support system adoption and adherence to standard processes
Stakeholder Engagement
  • Work collaboratively with:
    • Medical staffing teams
    • Rota coordinators
    • Service managers and clinical teams
  • Support engagement sessions, workshops, and system walkthroughs
  • Respond to user queries and provide system guidance
  • Escalate complex issues appropriately
System Administration & Technical Support
  • Support system access, user setup, and role-based permissions
  • Liaise with IT and system suppliers to resolve technical issues
  • Support system upgrades, enhancements, and testing cycles
  • Maintain configuration documentation and system records
Documentation & Communication
  • Maintain accurate and up-to-date documentation
  • Support development of SOPs, guidance, and training resources
  • Assist in maintaining the e-Rostering intranet page
  • Provide updates to stakeholders as required
