Part Time Project Administrator
Job OverviewMy clientis looking for a highly organised and proactive Part Time Project Administrator to join the team. This role is essential to keeping our projects running smoothly and supporting the people who make our technology work.
As a Project Administrator you will support the Head of Projects and the wider project team with coordination, documentation and day to day administration. You will help us maintain strong relationships with our clients by keeping information accurate, responses timely and communication open and honest. Key Responsibilities
- Provide administrative support for all project activities, ensuring smooth coordination and documentation.
- Maintain accurate project records, including schedules, budgets, and client communications.
- Assist in preparing project plans, reports, and documentation for both internal and client use.
- Act as a central point for project related queries and the flow of information.
- Track project progress and update internal systems to reflect current status.
- Schedule meetings, manage team calendars, and coordinate resources required for project delivery.
- Ensure all project documentation is stored, maintained, and accessible in line with company standards.
- Support the Head of Projects and Project Engineers with day-to-day administrative tasks.
- Communicate professionally and promptly with clients regarding project updates and administrative queries.
- Ensure transparency and accuracy in all client-facing documentation.
- Contribute to a positive client experience through timely responses and clear communication.
- Identify opportunities to streamline administrative processes and improve operational efficiency.
- Suggest enhancements to project tracking and reporting tools.
- Contribute to maintaining and improving templates, documentation standards, and workflows.
- Participate in training to continually develop skills in project administration and relevant tools.
Skills & Experience
- Experience in a project administration or similar administrative role is helpful, but we are just as interested in your attitude and willingness to learn
- Strong organisational skills with the ability to keep track of many moving parts.
- Clear and confident communication, both written and verbal.
- Comfortable working with Microsoft Office and able to learn new systems quickly, including PSA platforms such as Halo.
- A natural problem solver who enjoys bringing structure and clarity to busy environments.
- Good attention to detail and a commitment to accuracy.
- Able to build positive relationships with colleagues, clients and partners.
- A proactive mindset with the confidence to suggest improvements and support better ways of working.
