Executive Assistant

This Executive Assistant role for an AI firm involves providing high-level administrative support to the Founders. You will also look after the office and take on a more operational role with a view to being a Chief of Staff.

They are an AI company who are very well known in their sector and really growing. They have solid financial backing and looking to scale. They are a really fast paced and growing environment. They are 25 people at the moment and will be increasing that headcount.

Description

This is not a traditional diary-management role. You'll be embedded in the day-to-day rhythm of the company: helping prioritise the founder's time, preparing them for important conversations, coordinating with clients and investors, and taking ownership of the countless operational details that keep a fast-moving startup functioning.

Founder Support

Manage fast-moving and often complex calendars, ensuring the founder's time is spent on what matters most

Own inbox management, draft correspondence, and ensure follow-ups happen

Prepare meeting briefs and research so the founders walk into key conversations fully prepared

Coordinate UK and international travel with clear, well-structured itineraries

Personal support as required

Operations & Administration

Help manage office operations and day-to-day logistics

Coordinate suppliers, invoices, and expenses

Support internal organisation across tools like Notion and Google Workspace

Help organise team events, offsites, and travel arrangements

Investor & Client Coordination

Coordinate scheduling and communications with investors and clients

Prepare materials and briefing notes for external meetings

Draft detailed investor materials, updates, and communications

Help ensure important relationships stay warm and well managed

Projects

Take ownership of ad hoc projects across operations, research, and communications

If something important is stuck and has no obvious owner, you'll likely end up unblocking it

Profile

EA/PA, with experience in a startup or similarly fast-paced role

Strong academic background (First Class or high 2:1 preferred) from a reputable university

Exceptionally organised with strong attention to detail

Excellent written English and the ability to draft clear, polished communications

Tech-savvy and comfortable with modern productivity tools (Google Workspace, Notion, Slack, etc.)

Comfortable using or experimenting with AI tools to work more efficiently

High agency - you take initiative and move things forward without waiting to be asked

Good judgement and an instinct for prioritisation

Discretion and professionalism

Job Offer

£40,000 and £55,000 (depending on the candidate)
