Laptop Refresh - Project Coordinator

The Laptop Refresh - Project Coordinator will oversee the deployment of new laptops, ensuring the smooth transition of hardware for employees within the organisation. This role requires a detail-oriented individual with experience in project coordination within the technology department.

Description

  • Run regular CMDB and Intune extracts and reconcile device-to-user assignments
  • Identify, log, and route discrepancies such as mismatched user records, inactive devices, or missing data
  • Validate refresh lists against HR leaver data and flag exclusions
  • Create clear discrepancy tickets with supporting evidence and track them through to closure
  • Maintain weekly cadence with Service Desk and IT Ops to review open items
  • Support compilation of device volumes for office/location requirements
  • Coordinate device ordering with approved vendors and track order progress
  • Monitor delivery status and flag delays, shortages, or mismatches
  • Maintain Jira tickets reflecting volumes, statuses, milestones, and locations
  • Escalate risks that may impact monthly refresh targets
  • Ensure tracker quality, version control, and consistent data hygiene

Profile

A successful Laptop Refresh - Project Coordinator should have:

  • Experience in IT coordination, IT operations support, desktop refresh, or asset data management
  • Confident working with CMDB records and following change controls
  • Familiarity with Microsoft Intune device records
  • Strong Excel skills (filters, lookups, conditional formatting, validation)
  • Experience with Jira or similar tracking tools
  • Highly organised with ability to manage large datasets to closure
  • Clear written communication for logging and routing actions effectively
  • Experience working across multi-office or multi-region environments
