An exciting opportunity has arisen within the Workforce Information Team at Milton Keynes University Hospital NHS Foundation Trust for a Workforce Information Analyst.
This is a key role within the Workforce Directorate, supporting the production, assurance and continuous improvement of workforce information across ESR, rostering, Business Intelligence and other approved workforce systems.
The post holder will analyse, interpret and present complex workforce data to support local, regional and national reporting requirements, workforce planning, performance monitoring and operational decision-making.
The role will lead on the development and maintenance of accurate, refreshable and well-documented workforce reports, dashboards and assurance checks, using tools such as ESR Reporting, advanced Excel, Power Query, Business Intelligence platforms and approved AI-enabled functionality where appropriate.
We are looking for someone with strong analytical, technical reporting and data quality skills, with experience of extracting, manipulating and interpreting large and complex workforce datasets.

Working in the Workforce Directorate, the post holder will be responsible for the production, assurance and continuous improvement of workforce information for MKUH. The role supports accurate, consistent and well-governed workforce reporting across ESR, rostering, Business Intelligence and other approved workforce systems, in line with Trust information governance and data protection requirements
The post holder will analyse, present and interpret workforce information to support local, regional and national reporting requirements, workforce planning and operational decision-making. Outputs will be clear, accurate and accessible, with appropriate quality checks and supporting documentation so they can be maintained by authorised colleagues
Identify gaps and develop local workforce analytical, forecasting and planning tools to support the effective use of ESR and other approved workforce systems in monitoring Key Performance Indicators (KPIs), workforce trends and future workforce requirements
Maintain ESR and workforce data integrity through regular validation, quality assurance, organisational change updates and the appropriate application of security protocols

Job responsibilities
Using their expertise to identify, extract, manipulate and interpret relevant workforce data, the post holder will contribute to workforce planning and provide advice, guidance and training to Trust staff on the use and interpretation of workforce information.
The post holder will use their judgement and experience to help Workforce meet the Trusts local and national reporting requirements through a coherent, proactive and sustainable workforce information service. This includes ensuring workforce information is accurate, timely, well-assured and suitable for operational and strategic use.
Workforce Analysis
Responsible for applying complex workforce analysis to support planning, transformation, performance management and strategic decision-making. This will involve:
Detailed and complex analysis of workforce datasets.
Analysis of multiple sources of data that may be sensitive, conflicting or incomplete.
Workforce Systems, Reporting and Information Management
Ensure accurate, timely and high-quality workforce data is provided to support departmental information requirements, including agreed monthly, ad hoc and performance metric outputs.
Plan own workload for production of weekly, monthly, quarterly and annual information outputs to stakeholders, in conjunction with the teams responsibilities and national deadlines. Where outputs are recurring, ensure processes are scheduled, documented, quality assured and resilient during planned or unplanned absence.
Data Quality, Governance and Assurance
Undertake audits and quality checks of data recorded on Trust workforce information systems, investigate anomalies identified during analysis and instigate remedial action. Responsible for taking effective steps to resolve difficulties with HR systems.
Contribute to the development of procedures and policies in relation to workforce data management and information collection, ensuring new guidelines and legislation are reflected.
Workforce Planning and Intelligence
Work with stakeholders across the Trust to develop and maintain the Human Resources KPIs and performance metrics.
Research and decide how best to implement complex data capture solutions and analysis for workforce modelling.
Stakeholder Support and Communication Provide expert advice and support to the Trust Board, Performance teams, Workforce colleagues, managers and other stakeholders on the interpretation and application of workforce information, ensuring analysis is accurate, relevant, clearly understood and used effectively to support operational and strategic decision-making, including where data may be complex, controversial or contradictory.
Represent the Trust at regional and national ESR user groups, facilitating the sharing of best practice wherever possible
Service Improvement and Innovation
Research, assess and test new analytical methods, statistical techniques, dashboard design approaches and workforce information tools that may improve the quality, accessibility and usefulness of workforce information.
Work in partnership with the senior HR team to review, agree and take forward actions to streamline all HR information systems (IT and paper based).
Leadership and Staff Management
Responsible for the line management of the Workforce Information Assistant, including day-to-day supervision, training and development, annual appraisal, performance monitoring and ensuring statutory and mandatory training requirements are met.
Professional Responsibility and Decision-Making
Work to broad organisational and professional policies and procedures, operating on own initiative within the scope of the role.
Work closely with the Workforce Information Manager and HR colleagues to ensure Trust Business Intelligence is aligned, relevant and correctly interpreted to support the Workforce and OD Strategy.

Person Specification
Qualifications and knowledge
- Degree or equivalent experience in relevant subject
- Knowledge of workforce information systems, ESR Reporting, workforce datasets and relevant NHS data standards
- Knowledge of data quality, validation, auditability, information governance, confidentiality and data protection requirements when handling workforce information to post graduate diploma level or equivalent experience
- Knowledge of modern reporting, automation and analytical tools, including Power Query, advanced Excel, Business Intelligence platforms and approved AI-enabled functionality.
Experience
- Experience of ESR, Business Intelligence and other relevant NHS workforce systems
- Experience of workforce planning, workforce datasets, occupational codes, national returns and pay codes
- Extensive experience using Excel, macros, Power Query, Business Intelligence platforms or equivalent reporting technologies to produce workforce reports, board reports and dashboards
- Experience of developing and improving automated recurring reports, dashboards and assurance checks to reduce manual processing, improve quality and support business continuity
- Experience of extracting, analysing and interpreting large, complex datasets from multiple systems
- Experience of documenting reporting processes, including data sources, transformation steps, validation checks, refresh instructions and SOPs
- Experience of working in a large, complex organisation
- Experiencing of supervising, supporting or developing staff, including appraisal, training or day-to-day work allocation.
Skills
- Advanced IT skills including databases, Microsoft Word and Excel
- Advanced analytical and technical reporting skills, including the ability to produced, manipulate and interpret complex workforce data
- Ability to develop meaningful, accurate workforce reports
