Operations Manager
Job summary
The Operations Manager role is a senior leadership role responsible for operational performance, service scalability, resource management, infrastructure and business growth and implement the strategy and vision for the company.
This role goes beyond day-to-day management. You will design, implement and optimise systems, lead data-driven performance management, oversee organisational assets and ensure the service is positioned for regional and national expansion of multiple NHS contracts as well as private referrals. This role provides operational leadership across ADHD and Autism clinical/non-clinical services. Design scalable operating models with the Ops Director/ CEO. Oversee capacity planning, workforce modelling, service delivery, resilience, efficiency & business continuity.
You will work at both strategic and at operational levels, ensuring the organisation delivers high-quality care, strong financial performance and sustainable growth.
Main duties of the job
P erformance Management & KPIs
Develop and manage KPI frameworks, monitoring clinic utilisation, waiting times, patient flow, assessment/report turnaround, DNA/WNB rates, revenue per clinic/clinician, cost efficiency, staff productivity, margins.
Service Development & Growth
Lead service expansion, introducing new pathways and delivery models. Support geographical/national growth, digital innovation, patient pathway improvements, technology and AI development aligned to service plans.
Asset & Resource Management
Oversee clinical facilities, IT systems, platforms, equipment, assessment tools. Ensure effective utilisation, maintenance, cost efficiency & asset lifecycle management.
Team Leadership & Development
Build and lead high-performing operations function with clear management structure, developing leadership capability and fostering accountability, performance and continuous improvement.
Governance, Risk & Compliance
Working with Quality and Compliance Director ensuring CQC compliance, safeguarding &clinical governance. Lead audits, quality assurance, policy oversight, regulatory readiness, risk escalation and a culture of safety and learning.
Commercial & Strategic Leadership
Support budgeting, forecasting, profitability, contract development and operational efficiency. Translate strategy into delivery through data, performance insight & market awareness.

Key Responsibilities
1. Operational Leadership & Infrastructure
Provide full operational leadership across all clinical and non-clinical functions in the ADHD and Autism service.
Design and implement scalable operating models to support growth with the support of the Operational Director and CEO.
Oversee capacity planning, workforce modelling, and service delivery frameworks.
Ensure operational resilience, efficiency, and continuity planning
2. Performance Management and KPIs
Deliver and manage a robust KPI framework across all services.
Monitor and report on:
Clinic utilisation rates
Waiting times and patient flow
Assessment and report turnaround times
DNA (Did Not Attend) rates, and WNB.
Revenue per clinic / clinician
Cost efficiency, staff efficiency and margin performance
3. Service Development and Growth
Lead the development and expansion of ADHD and Autism services.
Identify and implement new service lines, pathways, and delivery models
Support geographical expansion and national scaling strategy
Drive innovation in digital systems, patient pathways, and service delivery in line withagreed service delivery plans.
Consider systems development using technology and AI.
4. Asset and Resource Management
Oversee all operational assets including:
Clinical rooms, facilities, IT systems, platforms
Medical equipment and assessment tools
Ensure optimal utilisation, maintenance and cost-effectiveness of assets
Implement asset tracking and lifecycle management processe5. Team Leadership and Organisational Development
Lead/grow a high-performing/scaling operations function
Build a structured management layer with clear accountability
Develop leadership capability within the team
Drive a performance-driven, accountable, and solution-focused culture6. Governance, Risk & Compliance
Oversee day to day operational compliance with CQC, safeguarding and clinical governance standards working alongside the Quality and Compliance Director.
Complete operational audits, quality assurance, and continuous improvement.
Escalation of risk and complex patients.
Maintain oversight of policies, SOPs and regulatory readiness
Create a culture of safety and openness to learn.7. Commercial and Financial Oversight
Contribute to budget setting, forecasting, and financial planning
Identify cost-saving opportunities and efficiency improvements
Drive profitability through operational optimisation
Support contract development (private, NHS, and partnerships
8. Strategic Leadership
Act as a key member of the senior leadership team
Translate strategic goals into operational delivery plans
Support long-term organisational planning and growth strategy
Provide insight through data, performance trends, and market awareness
Person Specification
Qualifications
- NVQ level 3
- Demonstrated leadership qualification
- 2 years at working in a senior role
- Excellent Organisational skills
- Significant experience in a senior operational leadership role (healthcare or similar regulated sector);
- Commercially minded, performance and outcome driven;
- Proven track record of scaling services and improving operational performance;
- Strong experience in KPI development, data analysis, and performance management;
- Experience managing budgets, assets, and operational infrastructure
- Experience leading and developing multi-layered teams
- Experience in private healthcare or independent clinical services
- Knowledge of CQC frameworks and compliance requirements
- Experience working with NHS / ICB partnerships or contracts
