Programme Support Officer
Job summary
An exciting opportunity has arisen for a individual to join our Programme as Support Officer.
We are looking for an organised, enthusiastic individual who is self-motivated but also enjoys working in a team. In addition to programme management support skills you need to be able to support digital transformational change.
This role is involved in the effective planning, co-ordination and support of complex strategies, activities and projects and will involve clerical or administrative support, developing and implementing policy and processes, support for the MoorConnect Programme Board, Readiness Boards and Design Authority, support with Excellence Delivery Unit( XDU) governance reporting and collaboration sessions.
They will work alongside departmental teams working to support user need ensuring successful and beneficial changes to their working practices.
Main duties of the job
Programme and Project Support
Provide and receive routine information requiring tact or persuasive skills to inform work colleagues and stakeholders, as well as handle information that could be considered complex for a non-specialist or that is potentially sensitive.

Help to make information presentable and intelligible in simple written documents, spreadsheets, bearing in mind the different audiences - MoorConnect Programme Board, Readiness Boards and Design Authority Board.

Assess, resolve and refer enquiries, potentially involving other members of the team--as appropriate; refer complex or non-routine enquiries to the manager.

Assistance in preparing communication for programme members.

Liaising with the MEH communications team to keep them updated about MoorConnect and promotion of outputs via social media.

Ensure that business intelligence gathered through projects is recorded on the project tracker.

Take minutes in minutes, and capture and consolidate learning generated during workshops and project meetings.

Manage digital communications tools (i.e. setup virtual meetings, coordinate breakout rooms using Teams, manage virtual lobbies)

Other responsibilities as directed by the Programme Manager

Job responsibilities
Training Support
Coordinate the administrative elements of the EPR training programme and ensuring logistical arrangements for training sessions are in place.

Support the training lead to be the point for training-related queries from both staff and trainers.

Support in preparing and circulating reports detailing training progress, attendance, and evaluation outcomes

Monitor the generic inbox for training and MoorConnect, respond back in timely manner

Work with the Training lead and support to get all the Meditech training for staff for the right EPR staff on the course on the right day with location booked etc

Support the training lead on arranging training from Meditech to MEH staff, and the EPR training for all end users

Work closely with the Project Manager/Lead on Project support recruitment

Administrative support for the end user training and for super user as directed by the Project Manager

Other responsibilities as directed by the Training Lead
Project Management
-
Plan and organise straightforward project activities within a 13month timeframe and prioritise taskswhich may require adjustment due to variations in workload/interruptions.

Update and maintain accurate records within the MoorConnect Project management software

Organise and plan for meetings with the Project Manager and provide administrative support.

Track risks and issues throughout projects and programme as requested by the Programme Manager.

Ensure that all Projects are accurately documented in a systematic way

Work with the Project Manager, and other colleagues to identify new opportunities, and help brainstorm, design and deliver new projects.

Ensure that events are planned and coordinated in a structured fashion which will involve engaging with all stakeholders, researching and booking venues, and supporting all logistics.
Person Specification
Education/Qualifications
- Educated to graduate level or equivalent experience and qualification
- Excellent PC literacy including knowledge of all Microsoft Office packages
- Ability to learn new packages/databases as required
Experience
- Demonstration of interest in digital health
- Experience in a busy office dealing with all aspects of admin work
- Experience of complex diary management
- Experience of organising large events/conferences
- Experience of project management
- Understanding of the NHS
- Understanding of the challenges of implementing healthcare technology
- Experience of ensuring active patient and carer participation within development work
- Demonstrable interest in solving business problems
Knowledge
- Knowledge and experience of working in an NHS environment
- Analytical knowledge - able to work with colleagues to identify requirements for digital transformation
Skills/Ability
- Professional manner and mature approach to dealing with confidential matters
- Practical and well organised
- Ability to work within a team environment and display initiative
- Able to produce accurate and detailed work in a time pressured environment
- Evidence of excellent communication and interpersonal skills- both written and oral
