HRIS Administrator

An exciting opportunity has arisen for a HRIS Administrator to work for GKN Aerospace based in Filton within their HR Function. The jobholder will ensure the accuracy, integrity, and reliability of employee data across all HR and time management systems, providing the reporting and system administration foundation that enables the HR function and the business to operate effectively. Key responsibilties are; Data Integrity & Systems Administration; - Maintain accurate and up-to-date employee records on the HRIS including new starter setup, contractual changes, absence records, leaver processing, and personal detail amendments, to ensure the integrity of the data that underpins reporting, payroll, and compliance processes. - Conduct regular data quality audits across all HR systems, identify and resolve discrepancies, and implement preventive measures, to maintain a consistently reliable employee data set that supports business decision-making. - Maintain accurate organisational structure and hierarchy within the HRIS, and process changes to pay, role, business unit, reporting line, and work pattern in a timely manner, to ensure the system always reflects the current state of the organisation. Reporting & Analytics Support; - Produce and distribute standing HR reports on an agreed cadence including weekly headcount, new starter, and leaver reports, and monthly absence, turnover, and vacancy data, to provide timely management information to the HR team and senior stakeholders. - Prepare data packs for the Workforce Strategy Huddle, People Reviews, and Compliance Documentation Sprint as directed by the HR Advisor or HRBPs, to ensure HR forums are supported by accurate and relevant data. Time & Attendance; - Ensure the time management system is updated to reflect changes including shift patterns, holiday carry-over, unpaid leave, and buying and selling of annual leave, to support accurate payroll processing and absence management. - Deliver appropriate training and ongoing support to management-level staff on the Time and Attendance system, to ensure system competence and self-service capability across the organisation Payroll & Operational Support; - Provide ongoing payroll support by ensuring all employee changes, new starters, and leavers are accurately processed and communicated to payroll within agreed timescales, to minimise payroll errors and ensure employees are paid correctly. - Liaise with the business on operational matters including factory shutdown arrangements, special shift configurations, and new shift implementations, and configure these within HR and time management systems, to ensure system accuracy during periods of operational change Essential skills & Qualifications; - Excellent customer service skills and ability to interface with people at all levels. - Excellent verbal and written communication skills. - Self-motivation and ability to organise and prioritise own workload within a team. - Drive, initiative, and a proactive approach to identifying and resolving data issues. - The ability to work collaboratively within a team and across functions. - High level of discretion and diplomacy when handling confidential and sensitive employee data questions. - Strong IT literacy with confident use of Microsoft Excel (intermediate level including lookups, pivot tables, and data validation), Word, and Outlook. - GCSE English and Maths (Grade C/4 or above), or equivalent. Desirable qualifications; - CIPD Level 3 Foundation Certificate in People Practice, or actively working towards - Formal qualification or certification in HRIS administration or data management Knowledge; Essential; - Demonstrable experience administering an HRIS (e.g., SAP HR, Workday, Oracle, or equivalent), including employee record management, system configuration, and report generation. - Experience producing and interpreting HR data and management reports, with the ability to identify trends and data anomalies. - Working knowledge of UK employment legislation relevant to the role, including GDPR data handling requirements, statutory leave entitlements, and payroll-related obligations. - Experience supporting payroll processes and understanding the interface between HR systems and payroll. - Experience administering time and attendance systems and managing shift pattern configurations - Ability to manage high-volume, deadline-driven data processing with sustained accuracy and attention to detail. Desirable; - Previous experience in the aerospace, or manufacturing sector. - Experience with SAP HR. - Familiarity with data quality frameworks, audit processes, or system implementation projects.
