An exciting opportunity has arisen for an experienced Intelligent Office System Manager to join a growing and ambitious financial services organisation.

This is a key role responsible for the effective operation, integrity and continuous improvement of Intelligent Office (IO) across the business. Working closely with Operations and Data teams, you will ensure operational processes are translated into efficient system design, accurate data capture and meaningful management information.

The Role

As Intelligent Office System Manager, you will take ownership of IO configuration, data quality and user adoption, ensuring processes are scalable, embedded and capable of delivering reliable management information across the organisation.

You will act as the subject matter expert for Intelligent Office, supporting colleagues nationwide and playing a key role in business transformation and continuous improvement initiatives.

Key Responsibilities

System Administration

  • Manage the day-to-day administration, configuration and integrity of Intelligent Office
  • Set up and maintain user accounts, including onboarding and leaver processes
  • Configure adviser setups, fee splits and structural changes
  • Maintain group hierarchies and client sharing arrangements
  • Manage user access, permissions and row-level security

User Support & Training

  • Act as the primary point of contact for all Intelligent Office queries
  • Provide first-line support and ensure timely resolution of issues
  • Deliver training for new users and support the rollout of system enhancements
  • Promote best practice and drive user adoption across the business

Process Implementation & Optimisation

  • Lead the implementation of process changes within Intelligent Office
  • Translate operational requirements into practical system solutions
  • Challenge and refine processes where system or data limitations are identified
  • Lead testing and rollout of system updates and enhancements

Data Quality, MI & Controls

  • Take ownership of data quality and support the development of a strong data culture
  • Work with the Data team to ensure Intelligent Office remains the central source of client information
  • Support management information reporting and data integrity
  • Assist with reconciliation processes and resolve data discrepancies
  • Work closely with Finance and Data teams to strengthen controls and reporting accuracy
  • Support data migrations from newly acquired businesses

Continuous Improvement

  • Identify opportunities to improve system processes, efficiency and user experience
  • Collaborate with Operations, Data and Innovation teams to deliver enhancements
  • Contribute to the ongoing evolution of systems and operational best practice

About You

The successful candidate will have:

  • In-depth experience administering Intelligent Office, including configuration, permissions and user management
  • Previous experience within an operations, systems or administration role within financial services
  • Strong understanding of data quality management, validation and reconciliation processes
  • Excellent organisational and time management skills
  • Proven experience supporting users and delivering training
  • Strong stakeholder management skills and the ability to work across multiple departments
  • A proactive and solutions-focused approach to problem-solving
  • Excellent attention to detail and a commitment to data accuracy
  • The ability to adapt and thrive in a fast-paced and evolving environment
  • Willingness to travel nationally when required

Desirable Experience

  • Experience working within a national or multi-site financial services business
  • Understanding of FCA regulatory requirements and advice firm operations
  • Degree or equivalent qualification in Business, Finance or IT
