The Role
Reporting to the Head of PMO, the PMO & Delivery Coordinator plays a pivotal role in supporting the PMO to deliver successful projects and keep day-to-day technology delivery running smoothly. You'll provide the administrative backbone of the Project Management Office so that project leads and the Head of PMO can focus on delivery. The role combines core PMO coordination of documentation, reporting, governance processes, administrative support and process compliance, with hands-on running of the development team's agile ceremonies, Jira administration and website release coordination, and acts as a central point of contact for project-related information. It suits someone highly organised, comfortable with detail, and confident coordinating across multiple stakeholders and workstreams, ensuring the PMO and development team operate efficiently and effectively.
What I do
• PMO Administration & Documentation: Provide administrative support to the Technology team and Head of PMO, including meetings, minutes, team events and timesheets, while tracking project actions, risks and decisions and helping onboard new projects into the PMO framework
• Project Ceremonies & Meetings Coordination: Run the daily stand-up with the website development team, facilitate retrospectives and other ceremonies, and service PMO meetings, steering groups and project workshops
• PMO & Project Tools Administration: Administer PMO and project tools (Jira, Confluence, SharePoint and the timesheet system), own the PMO document library, and drive process improvements, including automating recurring manual work
• Release Management: Set up release meetings with the right stakeholders and coordinate release communications, from pre-release heads-up through to completion or delay notices
• Reporting: Support weekly and monthly portfolio reporting and dashboards, collating project updates from across the business into a single view for the PMO and Leadership Team
• Communication & Stakeholder Management: Act as a central point of contact for project-related queries, keeping the project team and stakeholders well informed
Who I am
• Highly organised, with strong time management and the ability to balance multiple projects and stakeholders
• Meticulous attention to detail
• Excellent written and verbal communication skills
• Experience working in a technology or project delivery environment, with an understanding of how development and project teams operate day to day
• Familiar with project management methodologies, agile ceremonies and best practice
• Confident picking up new tools and systems quickly (Jira administration experience would be beneficial)
• A proactive problem solver who adapts well to changing priorities
• A team player who enjoys supporting colleagues to achieve project objectives
• Previous experience in a PMO support, Scrum Master or delivery coordination role is welcome but not essential, as training and support will be provided
• A genuine interest in project delivery and a willingness to learn, with the ambition to develop into wider project roles such as project management or business analysis. We will support relevant training and certification, such as Agile, Scrum Master, PRINCE2 or BCS Business Analysis
