Job summary
The post holder will support the coordination of day-to-day scheduling, planning, and allocation of clinical staff within the Integrated Urgent Care (IUC) Clinical Assessment Service (CAS)
Main duties of the job
Working as part of the wider team, the role requires strong organisational skills, attention to detail, and the ability tomaintainaccuracy when handling workforce data to support safe and effective service delivery.
The post holder will have a keen eye for detail and have the aptitude to remain focused for long periodsof time to ensure data quality and to provide meaningful analysis on a daily, weekly,monthlyand ad-hoc basis.
Setting up advanced Rota's for Clinician duty sheets and staffing sheets.Allocation of specific duties within the clinical duty sheets and ensuring all special roles are covered.
Checking andcross-referencingdata from IEX, GRS and agency emails in-order to keep theappropriate spreadsheetsup to date,so that staffing numbers are constantly a true reflection of the staffingwe have versus the requiredsafestaffinglevels

Job responsibilities
The successful candidate will be responsible for the creation, maintenance and ongoing management of duty sheets, rotas and EOC staffing heatmaps to ensure accurate workforce planning and operational staffing across the service. The post holder will monitor staffing levels daily, identifying and updating any changes relating to absences, sickness, shift amendments, overtime and workforce availability, ensuring all records remain accurate and up to date. They will use workforce management systems including GRS, WFM and SystmOne to manage staffing information, schedule shrinkage and breaks, verify agency staff attendance, and record shift changes and overtime. The role will involve allocating operational duties and other ad hoc responsibilities, as well as maintaining staffing information. The post holder will proactively identify staffing gaps and role shortfalls, escalating concerns to management and taking appropriate action to secure cover through overtime and agency resources. They will liaise regularly with the wider team regarding staffing requirements, sickness management, shift amendments and workforce shortages. In addition, they will ensure EOC staffing heatmaps are updated in line with published six-weekly workforce requirements and are available for staffing meetings, while also providing support with monthly timesheet processes as required. This role requires excellent organisational skills, attention to detail and the ability to work effectively in a fast-paced operational environment.
Person Specification
Education, Qualifications and Training
- Minimum of 5 GCSE level including Math and English
- Vocational qualification Level 4/5 i.e. Business Admin or Higher National Diploma or equivalent relevant developed knowledge and experience
Key Skills, Knowledge and Aptitude
- Computer literate, must be able to use GRS, IEX and SystmOne. Analytical mind and can concentrate for extended periods
Experience
- Previous experience in scheduling and planning of staff rota's
- Developed level of call centre environment experience, with good computer keyboard skills and accuracy
