Administration Assistant

Job summary

We are looking for an organised and reliable Administrative Assistant to join our team at Northgate Medical Practice. This is a part-time position, working 20 hours per week, Monday to Friday, 08:00 12:00.

The Administrative Assistant supports patients and the wider Practice team, covering patient registrations, record keeping, clinic administration, and other general office duties.

Main duties of the job

This is a varied role supporting the day to day running of the Practice, covering patient registrations, record keeping, assisting with clinics, and general office administration. The ideal candidate will have strong attention to detail, a professional manner, and the ability to manage a busy workload while maintaining patient confidentiality at all times.

Northgate Medical Practice is one of the largest GP practices in Canterbury, caring for over 21,000 patients across three sites in Northgate, Blean and Chartham. Our multidisciplinary team of GPs, advanced nurse practitioners, pharmacists and primary care nurses provides a broad range of general practice services and specialist clinics. Patients can access our services at our accessible sites, with dispensing available at our Chartham surgery and through our online systems for booking appointments, remote consultations and ordering prescriptions. As an approved training practice, we regularly host GP registrars as well as nursing, physiotherapy and Kent & Medway medical students.

Job description

Job responsibilities

  • Complete general data entry accurately and within agreed timescales.
  • Enter vaccine and immunisation data onto patient medical records accurately and in a timely manner.
  • Assist with Practice communications, including liaising with our website provider to arrange and coordinate website updates.
  • Log, track and escalate IT support calls as required, liaising with IT providers to help ensure timely resolution of issues.
  • Maintain and organise patient records, both physical and electronic, ensuring confidentiality at all times.
  • Process patient registrations, both paper-based and online.
  • Manage and process administrative workflow tasks within clinical systems (e.g. EMIS and Docman), ensuring records are kept accurate and up to date.

  • Review patient questionnaire feedback, forwarding and flagging relevant information to the appropriate person.

  • Undertake general office duties, including scanning, copying and document handling, to support smooth daily operations.



Person Specification

Qualifications

Essential
  • Good general education, including GCSE (or equivalent) in English and Maths.
Desirable
  • NVQ/qualification in Business Administration or a related field.
  • Chaperone training (or willingness to undertake training).

  • Excellent organisational skills, with the ability to prioritise and manage a varied workload.
  • High level of accuracy and attention to detail.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to work well under pressure and use initiative.
  • Flexible and reliable, with a professional manner.
Desirable
  • Knowledge of information governance and data protection requirements (e.g. GDPR).
  • Willingness to undertake further training relevant to the role.

Experience

Essential
  • Experience working in an administrative or customer-facing role.
Desirable
  • Experience working in a medical, healthcare, or other professional office environment.
  • Experience using clinical systems such as EMIS and Docman.
  • Experience with data entry involving patient or client records.
