Job summary

A new and exciting vacancy has arisen in our Corporate Governance team for a band 6 Risk & Governance Systems Coordinator. The postholder with be responsible for developing and administering our risk management system (InPhase) to maximise its capabilities, functionality and reporting across the various applications (incident reporting, risk management, clinical audit & NICE / clinical guidelines, patient feedback and freedom to speak up).

This role will also require the post holder to be visible and engage with services and colleagues across the organisation to meet local needs and support governance and reporting processes more generally.

We are looking for candidates with excellent system development skills, a sound knowledge of governance & assurance, coupled with the ability to engage with services, managers and colleagues across the organisation, to support clinical and corporate governance processes more generally.

Applicants must have system development expertise with InPhase or similar risk management or database systems.

This is a full time, fixed-term role for 12 months.

Main duties of the job

In this role you will lead the development and administration of the InPhase / Healthcare Guardian Risk and Quality Management System. Optimisation and integrity of the system is vital for local and national reporting requirements in relation to clinical incidents, clinical audits, risk management and policy compliance.

You will become the resident expert in the system understanding how it can be developed and utilised to greatest effect to support clinical improvement, effectiveness, learning from incidents and risk mitigation. This in turn will support improved care and services as well as ensure the organisation is meeting its wider responsibilities in relation to good governance and risk management.

Additionally, you will develop relationships and networks across the organisation assisting clinical teams and services with delivery of the wider governance and improvement agenda through the lens of the quality and risk management system. Your ability to work collaboratively and inclusively will be key to success.

You must possess good technical and system development skills, coupled with strong people skills and the ability to engage and collaborate with a diverse range of colleagues.

Job Purpose

Dimensions

  • Develop and implement InPhase system triangulation and oversight capabilities and to challenge and communicate potentially contentious information, in areas where there may be barriers to acceptance at a senior level, demonstrating empathy and understanding and providing reassurance.
  • To have and in-depth understanding of the InPhase system.
  • With support from the InPhase Model Administrators and Model Owners further develop the InPhase system to meet the reporting requirements of the CityCare Executive, Board Committees and subordinate groups. Producing system policies, guidance and standard operating procedures as necessary.

Key Responsibilities

  • Maintain strategic oversight of the InPhase health assurance, safety and improvement system.
  • Development, administration and management of the InPhase system and its applications to optimise user experience and support robust governance and reporting processes.
  • Provision of technical support and training to a diversity of groups and individuals across the organisation to meet individual needs.
  • Development and maintenance of robust information systems to support governance and reporting more generally.
  • Production of reports and data analytics to support regular reporting to Board, Committees and sub-committees.
  • Engagement with national and local groups to learn from excellence, share good practice and implement local system improvements as necessary.
  • Development of training materials and user guides using a variety of media to ensure engagement and accessibility.
  • To be the main point of contact with the provider (InPhase/Ideagen) and NHIS to resolve any technical issues and stay up to date with system developments.
  • To support the governance and risk management function more generally, particularly at an operational / service level.
  • To ensure information security protocols are adhered to at all times.
  • Lead on the technical liaison between CityCare, Ideagen (InPhase) and NHIS including NHS Mail.
  • Assess and manage the impact of any proposed changes to current practice in relation to adoption of new practices.

Management of services, resources and policy:

  • Assist in the development of policies and procedures to support the effective development and understanding of InPhase. Take responsibility for their implementation and provide advice to relevant groups and committees on the effective development of InPhase.
  • Ensure any risks are accurately described and submitted to the organisational risk register, including any actions to mitigate the risk.
  • Ensure user adoption activities are developed in line with team, department and directorate policies and procedures, and that they follow documented best practice.
  • Liaise with CityCares IT provider, NHIS, to ensure that any system requirements are met.

Planning

  • Ensure communication of changes and developments that impact users is planned effectively.
  • Plan and perform training sessions, demonstrations and business change activities, providing guidance and training materials as appropriate.
  • Deliver reports, information and analytics in line with corporate and clinical governance reporting and planning arrangements.

Analytical & Judgment Skills

  • Analyse, investigate and resolve highly complex platform problems where there may be no precedent set.
  • Ability to put forward ideas to other team members whilst listening and analysing other opinions, assessing all the facts and be able to make a valid judgement to resolve the issue.
  • QA the design and development of solutions and user adoption activities to ensure user and service requirements are satisfied.
  • Provide comprehensive technical and non-technical documentation as required.
  • Understand what other organisations are doing in the InPhase system space and apply any emerging best practice within CityCare.

Qualifications

Essential
  • Educated to level 3 (e.g. A-Levels, Access to HE Diplomas, advanced apprenticeships, T-Levels, and BTECs)

  • Educated to degree level or equivalent
  • Project management qualification or equivalent experience
  • Database or risk management system training
