Working for an innovative AI software development company, you'll play a key role in supporting our employees, visitors, and leadership team while driving office culture, coordinating exciting events, and ensuring the smooth day-to-day running of our Euston office.

The Role

As our People Experience & Office Coordinator, you'll be the face of our London office, creating a positive employee experience while ensuring the workplace runs efficiently. You'll have the autonomy to manage local initiatives, collaborate with global teams, and bring fresh ideas that enhance our office culture.

Key Responsibilities

Office & Workplace Management

  • Act as the first point of contact for employees, visitors, candidates, clients, and suppliers.
  • Maintain a welcoming front-of-house experience, including visitor management and security procedures.
  • Oversee the day-to-day running of the office, including mail, deliveries, facilities coordination, office supplies, and vendor management.
  • Work closely with facilities and external suppliers to ensure the office remains safe, organised, and well maintained.
  • Collaborate with Executive Assistants and People teams to support seamless office operations.

Employee Experience & Culture

  • Create an engaging office environment where employees enjoy spending time together.
  • Plan and deliver a calendar of exciting employee events, including social gatherings, team lunches, holiday celebrations, family events, workshops, and wellbeing activities.
  • Coordinate activities with external vendors, such as pottery classes, candle-making workshops, happy hours, and seasonal celebrations.
  • Partner with Inclusion & Impact and People teams to celebrate cultural events and promote an inclusive workplace.
  • Support internal communications that keep employees informed, connected, and engaged.

Project & Stakeholder Management

  • Manage multiple office and culture projects from planning through to delivery.
  • Work closely with local leadership to understand employee feedback and identify opportunities to improve the workplace experience.
  • Make independent decisions for the London office while collaborating with a global People Experience team.
  • Ensure local initiatives align with wider business goals and global workplace strategy.

What We're Looking For

  • Previous experience in an Office Coordinator, Workplace Experience, People Experience, Office Manager, or similar administrative role.
  • Experience coordinating events or employee engagement initiatives would be highly desirable.
  • Excellent organisational skills with the ability to manage multiple priorities.
  • A proactive, self-motivated approach with confidence working independently.
  • Strong communication and relationship-building skills.
  • A genuine passion for creating outstanding employee and guest experiences.
  • Comfortable working in a fast-paced, growing business.
  • A positive, collaborative attitude and a willingness to get involved.

Bonus Points If You Have

  • Experience working within a startup, SaaS, technology, or AI business.
  • Familiarity with AI tools and emerging technologies.
  • A creative mindset with new ideas to enhance workplace culture.
  • Experience supporting distributed or global teams.
